About the Role

• Starting as soon as possible
• Part time 20 hours per week = Monday to Friday 8:00am to 12pm

As our Client Services Officer, you'll be the first point of contact for clients in our Ellerslie Clinic.

Proactive Rehab, a leading physiotherapy and rehabilitation healthcare provider is seeking a confident and experienced Client Services Officer. You’ll be the welcoming face of our clinics and play a key role in delivering a smooth, positive experience for our clients. Ideally, you have sound Gensolve experience or similar.

This role suits someone who is friendly, organised, and passionate about customer service and accurate timely administration. Every day is varied, fast‑paced, and rewarding.

Key Responsibilities

• Provide warm and professional front‑of‑house service
• Support referrals processing and reporting
• Data entry
• Contributing to the nationwide telephone response
• Manage appointments, bookings, cancellations, and client enquiries
• Support clinicians with administrative tasks and documentation
• Maintain accurate client records and ensure efficient clinic workflow
• Process payments, invoicing, and daily receipting
• Maintain a tidy, organised, welcoming clinic environment
• Contribute to a supportive and collaborative team culture

About You

• Passionate about delivering exceptional customer service
• Strong communication and interpersonal skills
• Excellent organisation and attention to detail
• Able to stay calm and efficient in fast‑paced environments
• A proactive, positive, helpful mindset
• Experience in customer service in health
• Quick learner—Gensolve experience is essential
