Role Description:

The part-time Advisory Coordinator provides administrative, project, and client support to the Advisory team. This role helps keep daily operations organized by managing expense reports and timesheets, opening new projects, coordinating meetings, monitoring communications, and supporting client follow-up.

The ideal candidate is highly detail-oriented, proactive, and dependable, with strong organizational skills and a professional approach to client service. Success in this role requires accuracy, sound judgment, and consistent follow-through across multiple priorities.

Responsibilities:

  • Expense reports: Prepare, review, and submit expense reports, ensuring receipts, project allocations, and supporting documentation are accurate, complete, and submitted on time.
  • Timesheet coordination: Track timesheet completion, follow up on missing or incomplete entries, and coordinate corrections to support accurate project tracking and billing.
  • Inbox management: Monitor the Advisory leader’s inbox, organize and prioritize messages, flag urgent requests, draft or send routine responses as directed, and track items requiring follow-up.
  • Project setup: Open new jobs and projects in internal systems, verify client and project information, and coordinate with the appropriate teams to ensure required documentation and approvals are in place.
  • Meeting coordination: Schedule internal and client meetings, manage calendar logistics, prepare meeting materials, and track follow-up items as needed.
  • Client communication: Respond to routine client inquiries promptly and professionally, provide administrative updates, and direct substantive questions to the appropriate Advisory team member.
  • Client follow-up: Proactively follow up on outstanding information, scheduling requests, documents, and agreed-upon next steps.
  • Client surveys: Coordinate and conduct client feedback surveys, track participation, compile responses, and summarize feedback for Advisory leadership.
  • Record maintenance: Maintain organized, accurate client records, project files, contact lists, and administrative trackers.
  • Team support: Help monitor deadlines and outstanding tasks, identify missing information or discrepancies, and recommend practical improvements to administrative processes.

Qualifications

  • Two or more years of administrative, project coordination, client service, or similar experience preferred.
  • Experience supporting a consulting, advisory, or professional services team is a plus.
  • Strong attention to detail, with the ability to catch errors, verify information, and maintain accurate records.
  • Excellent organizational and time-management skills, with the ability to manage competing priorities and meet deadlines.
  • Clear, professional written and verbal communication skills.
  • Proficiency in Microsoft Outlook, Excel, Word, and Teams; familiarity with expense, timekeeping, CRM, or project management systems is helpful.
  • Ability to handle confidential information with discretion and exercise sound judgment.
  • A proactive approach to problem-solving and the ability to work independently while keeping others informed.

What Success Looks Like:

Accurate and timely expense reports and timesheets, properly established project records, well-coordinated meetings, prompt client responses, and consistent follow-through on outstanding requests.
