  • Obtain and compare supplier quotations before procurement decisions are made.
  • Verify commodity availability and supplier capacity before committing to purchase agreements.
  • Coordinate with Quality Control to ensure commodities are inspected and approved before final purchase or dispatch.
  • Ensure all procurement activities are supported by appropriate purchase orders, supplier documentation, inspection reports, weighbridge records, and delivery evidence.
  • Track procurement orders from supplier confirmation through collection, transportation, warehouse receipt, and final delivery.

  • Recommend when to buy, where to source, and how much to purchase based on market conditions and confirmed demand.
  • Provide management with regular procurement price analysis and market updates.
  • Identify potential arbitrage and cost-saving opportunities while maintaining acceptable quality and commercial risk.
  1. Procurement Cost & Budget Control
  • Manage procurement activities within approved budgets and target purchase prices.
  • Analyze the total landed/procured cost of commodities, including purchase price, inspection, loading, handling, storage, transportation, and other associated costs.
  • Identify unnecessary procurement costs and recommend cost-reduction measures.
  • Ensure procurement commitments are commercially viable against approved selling prices and expected margins.
  • Maintain accurate records of purchase prices, quantities, supplier payments, and outstanding procurement commitments.
  1. Coordination with Quality Control & Logistics
  • Work closely with the Agricultural Quality Control Supervisor to ensure all purchased commodities meet approved specifications.
  • Coordinate pre-purchase inspection, sampling, grading, testing, and approval of commodities where required.
  • Ensure rejected or non-conforming commodities are not purchased or dispatched without appropriate management authorization.

  • Ensure every commodity batch can be traced from supplier/farmgate through aggregation, transportation, warehouse, and final customer delivery.
  • Maintain procurement registers, supplier scorecards, purchase orders, delivery notes, invoices, and reconciliation records.
  • Use digital tools, spreadsheets, and ERP systems such as Odoo to maintain accurate procurement data.
