AP Analyst

About the Role

As an AP Analyst, you will support our finance operations by ensuring accurate invoice processing, supplier statement reconciliation, and timely financial reporting. You will work closely with suppliers, the operations team, and management to keep our accounting records accurate and resolve discrepancies quickly.

Key Responsibilities

• Post and allocate vendor invoices and monthly expenses into CargoWise (accounting system), coordinating with the relevant teams to ensure accurate posting and complete supporting records.
• Review vendor statements of account (SOA), complete monthly reconciliations, and follow up with vendors on missing invoices and payment or invoice discrepancies until resolved.
• Review bank activity, post bank transfers, and reconcile bank transactions monthly.
• Run the weekly AP aging report, review due invoices, and recommend payment priorities to support cashflow monitoring.
• Prepare and send daily payment status reports to the management team, and support other finance and costing-related reports and projects as requested.
• Work with the OPS (Operations Support) team to review and resolve missing jobs.
• Save, organize, and back up accounting files and supporting documents to maintain audit-ready records.
• Perform other ad hoc finance duties as needed.

Requirements

• Strong accounting background: a Bachelor’s degree in Accounting, Finance, or a related field, with solid knowledge of accounts payable, reconciliation, and bank reconciliation. Prior hands-on experience in AP or finance operations is highly preferred.
• Good English: fluent written and spoken English for vendor communication and reporting
• Mandarin proficiency is a strong advantage
• Advanced Microsoft Excel skills
• Strong attention to detail and accuracy
• Ability to manage multiple tasks, deadlines, and priorities
• Self-motivated, proactive in problem-solving, with good teamwork and communication skills
