Job Overview

We are hiring an experienced AP Customer Service Specialist to manage end-to-end Accounts Payable activities for assigned clients. The role involves client and vendor communication, invoice processing, payment handling, and ensuring accurate and timely completion of AP operations.

The ideal candidate should have strong Accounts Payable knowledge, excellent communication skills, attention to detail, and the ability to work independently in a remote environment.

Key Responsibilities

1. Client & Vendor Customer Service

• Manage and respond to client and vendor emails through the designated client email inbox.
• Research and resolve invoice, payment, and account-related queries.
• Coordinate with Controllers, Accountants, clients, and vendors.
• Provide timely responses and updates, typically within 4 hours, as required.

2. Payment Processing

• Create Pay Controls for urgent check requests and weekly check runs.
• Handle urgent vendor payment requests and special payment requirements.
• Process payments related to garnishments, tax departments, and license departments.
• Update invoice payment status and mark invoices as paid when required.

3. Invoice Processing

• Review invoices and supporting documents for accuracy and completeness.
• Validate vendor codes and account codes.
• Enter and verify invoice data accurately.
• Retrieve, track, and process utility invoices from web portals.
• Process EDI files and maintain accurate AP records.

4. Additional AP Operations

• Coordinate stop-payment requests and process check voids in the system.
• Ensure invoices for assigned clients are processed and paid as directed.
• Provide backup support for other AP team members when required.
• Prepare and review statements for priority and top vendors.
• Maintain cross-reference tables for EDI, OCR, utilities, and other AP processes.
• Attend internal and client meetings and training sessions as required.

Required Skills & Qualifications

• Minimum 2+ years of experience in Accounts Payable.
• Strong knowledge of invoice processing and payment processing.
• Excellent data entry and keying skills with high accuracy.
• Strong written and verbal communication skills.
• Ability to manage client and vendor queries professionally.
• Good problem-solving, multitasking, and time-management skills.
• Strong attention to detail and ability to meet deadlines.
• Self-motivated, adaptable, and capable of working with minimal supervision.
• Willingness to go the extra mile to ensure customer satisfaction.
