What they need

About the Role

Savant Senior Living is seeking a hands-on Accounts Payable Manager to oversee AP operations across our growing portfolio of assisted living communities.

This position will manage the full AP cycle across multiple communities and legal entities, supervise internal and outsourced AP resources, and collaborate with community leadership and corporate accounting.

The ideal candidate is a proactive, detail-oriented professional with strong leadership skills, high-volume AP experience, and the ability to take ownership of daily operations, resolve issues, and improve processes.

Key Responsibilities

  • AP Operations: Oversee full-cycle AP across multiple communities and entities, including invoice processing, coding, approvals, vendor payments (checks and ACH), and weekly payment runs.
  • Team Management: Supervise, train, and develop AP staff, including the AP Coordinator, and oversee outsourced AP providers to ensure accuracy, timely processing, and accountability.
  • Payment Management: Manage vendor payment schedules, monitor outstanding invoices and approval queues, prevent duplicate payments and late fees, and identify early-payment discount opportunities.
  • Vendor Relations: Manage vendor onboarding, master records, W-9s, statements, payment disputes, and escalations; serve as the primary liaison between vendors and Finance.
  • Utilities and Credit Cards: Oversee utility account setup, autopay arrangements, bonds, recurring payments, and corporate credit card activity, including coding and reconciliations.
  • Contract Administration: Maintain a centralized contract repository, monitor renewals and expirations, and verify invoice pricing against contractual terms.
  • Accounting and Close: Reconcile AP subledgers to the general ledger, manage AP accruals and month-end closing activities, and support financial reporting and audits.
  • Internal Controls: Maintain AP policies, approval workflows, authorization thresholds, segregation of duties, fraud prevention controls, and audit-ready documentation.
  • Process Improvement: Standardize AP procedures and GL coding across communities, improve processing efficiency, and monitor key metrics, including DPO, on-time payment rates, and processing turnaround times.
  • Cash Flow Support: Prepare AP aging reports and assist with cash flow forecasts related to upcoming payment obligations.
  • Cross-Functional Coordination: Work with Executive Directors, community business office staff, and corporate accounting to resolve invoice and budget questions and support timely financial reporting.
  • Special Projects: Support AP integration for newly acquired communities and other operational initiatives.

Qualifications

  • Bachelor's degree in Accounting, Finance, or a related field preferred; equivalent experience considered.
  • 5+ years of AP experience, including 2+ years in a supervisory or team-lead role.
  • Experience managing high-volume, multi-site or multi-entity AP operations.
  • Senior living, healthcare, hospitality, or property management experience strongly preferred.
  • Experience with accounting/ERP systems; Yardi Voyager or Yardi Elevate preferred.
  • AP automation, electronic payments, credit card systems, and advanced Excel skills are a plus.
  • Strong understanding of GL coding, vendor reconciliations, payment processing, and internal controls.
  • Excellent organizational, problem-solving, leadership, and communication skills, with the ability to manage competing priorities and meet deadlines.

Benefits

  • Medical, Dental, and Vision Insurance
  • Critical Illness and Accident Coverage
  • 401(k) Retirement Savings Plan
  • Health and Dependent Care Flexible Spending Accounts (FSAs)
  • Paid Vacation, Sick Leave, Holidays, and Bereavement Leave
  • Tuition Reimbursement
