AP Supervisor

Accounts Payable Supervisor

Department: Finance

Reports To: Finance Manager

Location: Metro Manila (Hybrid)

Employment Type: Full-Time

Key Responsibilities

• Supervise and mentor AP clerks/specialists, assigning workload and reviewing output for accuracy

• Oversee timely processing of carrier/vendor invoices, freight bills, fuel card charges, and driver settlements Ensure accurate coding of freight, fuel, maintenance, tolls, and other trucking-related expenses to proper GL accounts and cost centers

• Manage weekly settlement runs for owner-operators and lease drivers Review and approve payment batches within approval authority limits

• Monitor AP aging and cash disbursement forecasts; flag issues to the Controller Ensure compliance with company policies, DOT-related vendor requirements, and internal controls

  Lead month-end close activities for AP: accruals, reconciliations, and reporting Identify and implement process improvements and automation opportunities (e.g., OCR invoice capture, EDI/TMS integration)

• Serve as a point of escalation for vendor/carrier payment disputes Support internal and external audits with documentation and analysis

• Ensure documentation and processes align with both company policy and local Philippine compliance requirements (e.g., BIR withholding tax documentation for local vendors, if applicable)

Qualifications

• Bachelor's degree in Accounting, Finance, or related field (or equivalent experience)
• 4+ years of accounts payable experience, including 1-2 years in a lead or supervisory capacity
• Experience in trucking, logistics, freight brokerage, or transportation industry strongly preferred
• Strong understanding of carrier settlements, owner-operator pay structures, and freight accounting
• Proficiency in Excel and ERP/accounting systems (e.g., QuickBooks)
• Excellent attention to detail and ability to manage high transaction volumes
• Strong leadership, organizational, and communication skills
