Summary Of Job Description

Responsible for maintaining technical and service databases, tracking service activities, and managing documentation related to service applications and proposals, including the requirements for materials, equipment, and manpower. Supports operational planning and execution by providing accurate technical information, resource estimates, service records, and relevant documentation to ensure effective coordination and timely execution of service activities.

Responsibilities

1. Database Management & Monthly Reporting: Centralize, compile, maintain, and update master databases related to valve, actuator, and service operations, including:

• ABV (Actuated Ball Valve) Database: Maintain active inventory, technical specifications, tag numbers, asset details, and locations.
• Servicing Records: Maintain servicing history, repair records, inspection findings, and routine maintenance entries through field and workshop service reports.
• Replacement Records: Track component and unit replacements, legacy equipment upgrades, and spare parts utilization.
• Monthly Reporting: Ensure all databases and relevant records are updated accurately and within the required monthly reporting cycle to support management review and operational planning.

2. Services Related Proposal Preparation: Review scopes of work (SOW), Material Supply & service agreements, and project requirements to prepare manpower, equipment, and resource proposals for upcoming service activities and execution plans.

3. Resource & Site Movement Monitoring: Assist in tracking and monitoring the deployment, movement, availability, and utilization of manpower and equipment against contracted rates, approved proposals, and operational schedules.

4. Workshop & Engineering Support: Work closely with workshop supervisors, technicians, engineers, and project teams to support service, assembly, testing, and repair activities in accordance with approved designs, technical standards, work instructions, and HSE requirements.

5. Technical Documentation & support: Prepare, maintain, and update technical documentation, including technical datasheets, material specifications, application notes, equipment records, root-cause analysis support documents, Standard Operating Procedures (SOPs), workpacks and other relevant technical services records.

6. Operational Coordination & Support: Provide timely technical and operational information to support quotation preparation, manpower and equipment planning, job scheduling, site mobilization, execution monitoring, and service completion activities.

Qualifications

• Bachelor’s Degree in Mechanical Engineering, Electrical and Electronics, Instrumentation, or equivalent engineering discipline.
• Knowledge on actuated ball valve/ mechanical valve, Control Panel assembly and function.
• Ability to use Microsoft Word, Excel, Email for proper documentation and etc.
• 2-3 years of equivalent responsibilities or jobs from previous employment preferred.
• Spreadsheet & Data Management: High proficiency in Microsoft Excel for database management, utilization tracking, resource calculations, data analysis, and monthly progress reporting and visualization.
• Commercial & Operational Understanding: Good working knowledge of valve and actuation applications, administration and resource planning, site mobilization logistics, and manpower scheduling in accordance with Material Supply & Service planning and operational requirements.
• Technical Knowledge: Solid understanding of relevant industry standards, including API, ASME, and ISO, as well as valve designs such as ball, globe, check, control, and solenoid-operated valves (SOVs), together with associated actuation systems.
• Technical & Documentation Skills: Proficiency in interpreting technical drawings, CAD drawings, and P&IDs, with strong attention to detail in data management, record keeping, and structured technical documentation.
