Asset Coordinator

Job Summary:

We are looking for a detail-oriented Asset Coordinator to manage, track, and audit our fleet of cranes, trucks, trailers, and specialized equipment. You will be the primary user of Assetpool, ensuring the platform accurately tracks and maintains all equipment, components, and compliance records.

Key Responsibilities:

• Act as primary owner of AssetPool (tagging, naming, allocations, yard locations, and component logging). Record all asset movements on the same day, reconcile the master fleet list and Year Planner against AssetPool, and conduct scheduled physical yard and site verifications.
• Confirm daily vehicle pairings (horse and trailer), driver/operator allocations, and equipment locations across AssetPool and the Daily Movement Planner. Flag conflicts or double allocations to the Fleet Controller and Operations Manager before dispatch.
• Maintain a live renewals register for vehicle licences, LMI load tests, abnormal load permits, roadworthy certificates, and maintain complete OneDrive asset compliance folders.
• Travel to branches and remote project sites (sometimes on short notice and for extended periods) for asset verification, site setup, mobilisation, and demobilisation.
• Submit a weekly fleet and compliance summary to the Operations Manager and provide real-time updates on team communication channels.

Key Requirements:

• Hands-on experience with AssetPool or a comparable asset-tracking and inspection platform.
• Minimum 2 to 3 years in asset coordination (crane hire, plant hire, or heavy haulage preferred).
• Practical knowledge of licensing, LMI load testing requirements, and abnormal-load permits.
• Intermediate to advanced MS Excel proficiency and confident use of OneDrive cloud storage.
• Attention to detail, zero tolerance for expired documents, and a high sense of urgency
• Valid driver’s licence (essential) with full willingness to travel to project sites on short notice.
