Job Summary

BIBA Fashion Limited is looking for a detail-oriented and proactive Accounts Receivable professional to manage e-commerce collections, payment reconciliations, marketplace settlements, and outstanding receivables across various online sales channels. The role will involve coordinating with e-commerce marketplaces, payment gateways, internal teams, and finance stakeholders to ensure timely collections, accurate accounting, and effective resolution of payment discrepancies.

Key Responsibilities

1. Accounts Receivable Management

• Manage end-to-end accounts receivable activities for the e-commerce business.
• Monitor outstanding payments, ageing reports, and pending receivables across various online platforms.
• Ensure timely follow-ups with marketplaces, aggregators, and other e-commerce partners for pending payments.
• Maintain accurate customer and marketplace account ledgers.

2. Marketplace & Payment Reconciliation

• Reconcile marketplace settlements against sales, returns, cancellations, refunds, and credit notes.
• Verify commission, logistics charges, promotional deductions, penalties, TCS, TDS, and other marketplace deductions.
• Reconcile payment gateway collections and ensure accurate recording of receipts.
• Identify short payments, excess deductions, duplicate deductions, and settlement mismatches, and coordinate for timely resolution.

3. E-Commerce Platform Management

• Handle receivables and reconciliations for platforms such as Myntra, Ajio, Amazon, Flipkart, Nykaa Fashion, and the company's D2C website, as applicable.
• Download and analyse settlement reports, sales reports, return reports, and payment statements from marketplace portals.
• Track orders delivered but not settled and investigate discrepancies in marketplace payment cycles.
• Ensure proper accounting of COD and prepaid order collections.

4. MIS & Reporting

• Prepare daily, weekly, and monthly reports on collections, outstanding receivables, ageing, and reconciliation status.
• Maintain platform-wise and channel-wise receivables trackers.
• Highlight overdue payments, unresolved deductions, and potential revenue leakages to the reporting manager.
• Support month-end closing and provide accurate receivables data for financial reporting.

5. Coordination & Issue Resolution

• Coordinate with marketplace finance teams, key account managers, and seller support teams to resolve payment issues.
• Work closely with internal E-Commerce, Sales, Customer Service, and Finance teams to resolve discrepancies related to returns, refunds, and settlements.
• Maintain supporting documentation for claims, debit notes, credit notes, and payment disputes.
• Follow up on claims and ensure timely recovery of disputed amounts.

6. Compliance & Process Improvement

• Ensure accurate accounting and documentation in accordance with company policies.
• Support GST/TDS/TCS reconciliations and statutory compliance requirements.
• Assist with internal and statutory audits by providing relevant reconciliations and supporting documents.
• Identify opportunities to automate reconciliations and improve the efficiency of e-commerce receivables processes.

Required Qualifications & Experience

• Bachelor's degree in Commerce (B.Com); M.Com, MBA Finance, or equivalent qualification preferred.
• 6-10 years of relevant experience in Accounts Receivable, E-Commerce Finance, Marketplace Reconciliation, or Collections.
• Experience working with e-commerce marketplaces such as Myntra, Ajio, Amazon, Flipkart, or similar platforms.
• Strong knowledge of settlement reconciliation, outstanding receivables, payment gateways, and marketplace deductions.
• Good working knowledge of MS Excel, including VLOOKUP/XLOOKUP, Pivot Tables, SUMIFS, and reconciliation techniques.
• Experience with ERP/accounting systems such as SAP, Oracle, Tally, or similar platforms is preferred.
