What they need
Assistant General Manager, Vacation Rental Operations
About the Role
Help keep Portoro’s Vermont vacation homes ready for guests and owners. As the General Manager’s second-in-command, you’ll organize daily field operations, coordinate local teams and vendors, and solve routine service problems while developing your owner communication and market leadership skills.
You’ll report to the General Manager for priorities, performance, scheduling, and development, and work within Portoro’s Home Care standards and approved vendor arrangements.
What You’ll Do
- Organize daily operations: Coordinate housekeeping, inspections, maintenance, and arrivals in Breezeway. Assign clear owners and deadlines, and flag staffing or workload gaps to the General Manager.
- Keep homes guest-ready: Inspect homes, check cleaning and repairs, arrange rework, and replenish approved supplies so homes are ready as promised.
- Coordinate vendors and field work: Work with approved vendors, arrange access, track delays, and verify completed work. Handle appropriate light field work within your training and use qualified specialists when needed.
- Resolve routine guest issues: During assigned coverage, contact guests, coordinate solutions, and confirm outcomes. Escalate safety concerns, serious complaints, and decisions outside your authority.
- Maintain accurate records: Document work, time, costs, receipts, photos, and approvals. Prepare clear billing exceptions and incident summaries for General Manager and Finance follow-through.
- Support owner communication and market leadership: Learn owner preferences, provide delegated routine updates, and follow through on commitments. Provide agreed General Manager backup with clear decision limits, an escalation contact, and coverage for your field duties.
What You’ll Bring
- Practical experience in hospitality, property operations, or a service-related role.
- Clear communication skills.
- Dependable follow-through.
Working Expectations
- This is an in-market Vermont role requiring travel among assigned homes.
- You’ll accomplish work through staff, approved vendors, and appropriate hands-on work, within agreed spending and decision limits.
- You’ll work assigned shifts or on-call periods with backup.
- The General Manager retains responsibility for difficult owner matters, financial approvals, and overall market accountability.
What Success Looks Like
- Homes are ready for guests and owners.
- Schedules are dependable, and work is completed.
- Guests and owners are kept informed.
- Recurring problems are reduced.
- Records are accurate and complete.
- You develop the skills and judgment to provide dependable backup to the General Manager.
