Assistant General Manager Purchase

PURPOSE

To lead and optimize the procurement function for a Super Luxury Clubs by sourcing premium-quality goods, services, and bespoke solutions that enhance the member experience while ensuring cost efficiency and operational excellence. The role is responsible for building strategic supplier partnerships, maintaining luxury brand standards, ensuring compliance, and driving procurement strategies aligned with the Club's business objectives and service philosophy.

Reporting Roles: Deputy Manager / Assistant Manager / Executives / Officers / Assistants

External: Luxury suppliers, premium brands, specialty vendors, consultants, contractors, authorities, members/residents

Internal: Department Heads, Finance, Culinary, Engineering, Housekeeping, Recreation, Sales & Membership teams

KEY RESPONSIBILITIES

Drive Operational Excellence

• Oversee end-to-end procurement operations for luxury goods, premium services, FF&E, food & beverage products, wellness supplies, recreational equipment, and club consumables.
• Ensure uninterrupted availability of high-quality products and services to support exceptional member experiences.
• Establish and maintain procurement processes that balance quality, exclusivity, service levels, and cost efficiency.
• Monitor purchasing cycles, inventory levels, and delivery schedules to avoid operational disruptions.

Applied Learning & Innovation

• Stay abreast of luxury market trends, emerging brands, sustainable sourcing practices, and innovative procurement technologies.
• Benchmark sourcing strategies against leading luxury clubs, hospitality brands, and lifestyle destinations.
• Introduce innovative products, services, and supplier partnerships that elevate member satisfaction and club differentiation.
• Promote digitization and best practices within procurement operations.

Vendor & Stakeholder Management

• Develop and maintain strategic relationships with premium and luxury suppliers.
• Negotiate favorable commercial terms while preserving service quality and product exclusivity.
• Partner with department leaders to forecast requirements and support operational planning.
• Conduct structured supplier performance reviews covering quality, responsiveness, innovation, and service excellence.
• Identify and onboard niche, specialized, and luxury suppliers aligned with club standards.

Business & Financial Acumen

• Develop and manage procurement budgets while delivering measurable cost efficiencies.
• Drive value engineering and strategic sourcing initiatives without compromising luxury standards.
• Analyze spending patterns and identify opportunities for savings, consolidation, and process improvements.
• Present procurement dashboards covering spend analysis, cost savings, supplier performance, sourcing risks, and procurement forecasts.

Leadership

• Collaborate with senior leadership to align procurement strategies with club growth plans and member expectations.
• Lead sourcing initiatives for new facilities, renovations, events, and member experience enhancements.
• Foster a culture of accountability, integrity, service excellence, and continuous improvement.
• Mentor and develop procurement team members to build future-ready capabilities.

Compliance & Risk Management

• Ensure all procurement activities comply with legal, financial, contractual, and organizational requirements.
• Maintain robust procurement documentation, contracts, and vendor records for audit readiness.
• Mitigate supply chain risks through diversification, contingency planning, and supplier assessment programs.
• Protect confidentiality relating to contracts, pricing, member preferences, and strategic business initiatives.

Member Experience & Luxury Brand Standards

• Ensure all sourced products and services reflect the Club's luxury positioning and member expectations.
• Support the introduction of premium experiences through sourcing of exclusive products, bespoke services, and luxury partnerships.
• Collaborate with operational teams to continuously enhance service standards through procurement excellence.
• Monitor product quality and supplier service levels to maintain world-class member satisfaction.

Occupational Health & Safety Responsibilities

• Ensure suppliers and contractors comply with all Club OH&S standards and statutory requirements.
• Verify that procured products meet applicable health, safety, and quality standards.
• Partner with vendors to proactively identify and mitigate operational and safety risks.
• Monitor compliance during delivery, installation, storage, and use of procured goods and services.

JOB REQUIREMENTS / HIRING PROFILE

QUALIFICATIONS

• Bachelor's Degree/Postgraduate Degree in Supply Chain Management, Business Administration, Hospitality Management, or related field.
• Professional certifications in Procurement, Supply Chain, or Strategic Sourcing will be advantageous.

WORK EXPERIENCE

• Minimum 10-15 years of progressive procurement experience, with significant exposure to luxury hospitality, super luxury clubs or luxury retail
• Proven track record in strategic sourcing, vendor negotiations, cost optimization, and luxury supplier management.
