Assistant Manager - Administration

Role & responsibilities

Key responsibilities include:

Security Operations Management

• Oversee the deployment and performance of in-house and third-party security personnel.
• Implement and ensure compliance with plant security protocols, including visitor management, vehicle entry/exit, and CCTV monitoring.
• Conduct regular audits, emergency drills, and security assessments in coordination with EHS and facility teams.
• Ensure perimeter surveillance and plant access controls are functioning effectively.
• Investigate incidents, breaches, or thefts, report them to higher management, and ensure proper documentation.

Transport Management

• Plan, schedule, and monitor employee and material transport for plant operations.
• Coordinate with external transport vendors for buses, cabs, and logistics, ensuring cost-effectiveness and punctuality.
• Maintain transport rosters, optimize routes, track fuel usage, and allocate driver duties.
• Ensure vehicle maintenance, insurance, and RTO documentation are up to date.
• Monitor GPS tracking and enforce safety compliance for all vehicles.

Vendor & Contract Management

• Liaise with security and transport service providers, evaluate performance, and ensure timely renewals and payments.
• Negotiate SLAs and verify adherence to agreed service quality.
• Maintain records of contracts, licenses, and agreements related to transport and security services.

Compliance & Safety Coordination

• Ensure all security and transport activities comply with organizational policies and legal standards.
• Support audits conducted by internal teams and regulatory authorities.
• Ensure guards and drivers are trained in safety procedures and conduct.

MIS & Reporting

• Prepare and submit daily, weekly, and monthly reports on security incidents, vehicle usage, maintenance, and costs.
• Maintain documentation for incident logs, gate passes, visitor entry logs, and fuel tracking.
• Support administrative budgeting and expense tracking for transport and security.
