What they need

About the Role:

The Assistant Manager plays a critical leadership role in the automotive service department, bridging customers, service advisors, and technicians to deliver exceptional service experiences and drive departmental performance. This position supports the Service Manager by overseeing daily operations, coaching the service team, ensuring efficient workflow, and maintaining high standards of customer satisfaction. Key responsibilities include understanding complex customer needs, facilitating accurate diagnoses through effective collaboration with technicians, providing transparent recommendations, and proactively resolving issues to exceed expectations. Success in this role demands strong leadership, a competitive drive to meet and surpass service and profitability goals, and a customer-first mindset. Ultimately, the Assistant Service Manager contributes to the department’s reputation, operational efficiency, and profitability by building trust, developing team members, and delivering outstanding service.

Minimum Qualifications:

  • High school diploma or equivalent (Associate’s degree or higher in business, automotive technology, or related field preferred).
  • Minimum 3–5 years of experience in automotive customer service or service advising, with at least 1–2 years in a leadership or supervisory capacity.
  • Solid automotive knowledge, including vehicle systems, common repairs, and repair processes.
  • Proven ability to lead and motivate a team in a fast-paced environment while maintaining strong attention to detail.
  • Excellent verbal and written communication skills, with the ability to translate technical information clearly for both customers and team members.

Preferred Qualifications:

  • Certification or training in automotive service advising, management, or related fields (e.g., ASE certifications).
  • Experience using automotive diagnostic/repair software such as AllData, Identifix, or similar systems.
  • Demonstrated success in team supervision, coaching, or performance management.
  • Familiarity with parts inventory, warranty processes, and service department profitability metrics.
  • Additional language skills to better serve a diverse customer base.

Responsibilities:

  • Greet customers promptly and professionally while establishing rapport and thoroughly understanding their vehicle service needs.
  • Lead and coach service advisors and support staff to ensure consistent, high-quality customer interactions and efficient operations.
  • Act as a key liaison between customers, service advisors, and technicians to accurately diagnose issues and determine appropriate repairs or maintenance.
  • Provide clear, transparent explanations of recommended services, pricing, timelines, and any changes to build customer trust.
  • Oversee service appointment scheduling, workflow management, repair order accuracy, and timely follow-ups to confirm customer satisfaction and address concerns (including comebacks).
  • Support the Service Manager with daily operations, including monitoring team performance, resolving escalated customer issues, and contributing to departmental goals for productivity and profitability.
  • Maintain organized records, ensure proper documentation on repair orders, and assist with estimates or closing repair orders when needed.
  • Promote a positive team environment focused on continuous improvement, customer retention, and operational excellence.

Skills:

In daily work, the Assistant Service Manager combines strong leadership and competitive drive to guide the team in meeting and exceeding service targets, customer satisfaction scores, and departmental objectives. Clear, professional communication skills are essential for translating complex automotive information into understandable terms for customers and for effectively coaching team members. Providing outstanding customer service requires active listening, empathy, problem-solving, and responsiveness, which help resolve issues quickly and build long-term loyalty. Deep automotive knowledge enables accurate interpretation of technician feedback and sound recommendations, while leadership abilities support efficient workflow management and team development. Proficiency with service management software and the ability to handle multiple priorities simultaneously further strengthen the role’s impact on both customer experience and department performance.
