What they need
Role Purpose
The Assistant Manager - MIS is responsible for developing, maintaining and managing the Management Information Systems and reporting framework for the Administration Department. The role consolidates operational and financial data from Transport, Security, Housekeeping, Official Hospitality, Medical Services and Campus Facilities, converts it into meaningful management information, and provides timely reports, dashboards and analytical insights to support decision-making by the Senior Director - Administration and functional heads. The incumbent will also establish data standards, reporting processes, controls and performance indicators to ensure that administrative operations are measurable, transparent and driven by reliable information.
Key Responsibilities
- MIS & Management Reporting: Develop and maintain daily, weekly, monthly and quarterly MIS reports, consolidate data across administrative functions, and prepare exception reports highlighting deviations, delays and emerging trends rather than raw data.
- Functional MIS Development: Develop function-specific MIS for Transport, Security, Housekeeping, Official Hospitality, Medical Services and Campus Facilities, covering utilisation, cost, compliance and service-level indicators.
- Data Management & Controls: Establish standard data formats, ownership and reporting frequency, validate and reconcile data received from different functions, and maintain databases for trend analysis with appropriate access controls.
- Dashboard & Analytics: Design interactive dashboards and KPI scorecards using Excel and Power BI, and develop trend, budget-vs-actual and vendor-wise comparative analysis to support management reviews.
- Budget, Cost & Vendor Performance MIS: Track administrative expenditure against approved budgets, prepare variance analysis across major cost heads, and develop MIS to monitor vendor/contractor SLAs, penalties and contract renewals.
- Compliance Monitoring & Process Automation: Maintain MIS for statutory and operational compliance with advance renewal alerts, identify manual processes for automation, and reduce dependence on manually prepared spreadsheets.
Leadership Expectations
The Assistant Manager is expected to demonstrate:
- Strong analytical ability and attention to data accuracy and detail
- Ability to translate operational data into clear, actionable management insight
- Proactive follow-up and coordination with multiple functional heads
- A structured, process-driven approach to reporting and automation
- Integrity and discretion in handling confidential administrative information.
Eligibility Criteria
- Bachelors degree in Computer Applications, Information Systems, or a related discipline.
- Minimum 3-6 years of relevant experience in MIS, business reporting, operations analytics or management reporting.
- Strong practical proficiency in Advanced Excel (Pivot Tables, XLOOKUP/VLOOKUP, SUMIFS/COUNTIFS, Power Query) and Microsoft Power BI at an intermediate level or above; familiarity with ERP/HRMS/Transport or Facility Management systems is an advantage.
