Assistant Resort Manager - Operations & Reservations
Location: À la Koh Kood resort, Koh Kood, Trat
Benefits: Free private accommodation, staff meals and service charge, Social security
Employment: Full-time, on-site
About the Role
We are a small, boutique 16-room island resort. We are looking for a capable and hands-on Assistant Resort Manager who can help manage daily operations while taking direct responsibility for reception, reservations and room sales.
This is not an office-only management position. During low season, you will personally handle reception and reservations. During high season, you will supervise and work alongside an additional receptionist.
You will also support management with purchasing, supplier coordination, operational problem-solving and occasional administrative follow-ups outside the resort.
Key Responsibilities
Reservations and Room Sales
- Respond promptly to enquiries through telephone, LINE, Facebook, WhatsApp, email and other booking channels
- Actively follow up with potential guests and convert enquiries into confirmed bookings
- Manage reservations, room availability, rates and OTA extranets
- Promote direct bookings and upsell room upgrades, transfers, meals, activities and packages
- Maintain accurate booking information and prevent overbooking
- Monitor upcoming occupancy and highlight dates requiring additional sales attention
Front Office and Guest Experience
- Resolve complaints and service issues professionally
- Coordinate arrivals, departures, transfers and special requests
- Supervise and train additional reception staff during high season
- Personally handle check-ins, check-outs, payments and guest requests during low season
Resort Operations
- Coordinate with housekeeping, restaurant, maintenance and transportation teams
- Follow up on room readiness, repairs and daily operational issues
- Check that resort standards and guest-service procedures are consistently followed
- Make practical day-to-day decisions when senior management is unavailable
- Provide management with a concise daily update on occupancy, bookings, guest issues and operational concerns
Purchasing and Supplier Coordination
- Collect and review purchase requests from different departments
- Check existing stock before placing routine orders
- Compare prices and coordinate with approved suppliers
- Follow up on deliveries and resolve missing or incorrect orders
- Check that delivered goods match the agreed quantity, quality and price
- Monitor unusual stock usage, shortages and repeated emergency purchases
- Submit purchasing documents and invoices accurately for approval and payment
Administration and External Follow-Ups
- Coordinate routine documentation and administrative work
- Liaise with suppliers, contractors and local service providers
- Visit government offices, suppliers or other external locations when required
- Assist management in following up on licences, permits and resort-related documents
- Maintain organised records and report progress clearly to management
Who We Are Looking For
Thai national with good spoken and written in Thai and English
At least 2–3 years of hotel front-office, reservations or guest-service experience
Previous supervisory experience is preferred, or readiness to step into a first management position
Comfortable working directly at reception - not only supervising others
Able to sell, follow up and confidently ask guests to confirm bookings
Organised and comfortable handling reservations, documents, suppliers and purchasing
Practical, responsible and calm when solving unexpected problems
Flexible and willing to support different areas of a small independent resort
Comfortable using computers, booking systems and OTA platforms
Driving licence and ability to travel locally for administrative errands are preferred
What We Offer
- Competitive salary
- Free private staff accommodation
- Staff meals
- Service charge
- Incentives for eligible direct bookings
- Social security
- Opportunity to develop from front-office or reservations supervision into broader resort management
- A hands-on leadership role with meaningful responsibility in a small island resort
Working Style
Because we are a 16-room independent resort, every manager remains close to the guests and daily operation. We are looking for someone who takes ownership, notices what needs to be done and works collaboratively with the team.
This position is best suited to a strong Front Office or Reservations Supervisor who is ready for the next step in their hospitality career.
