Job Summary

Responsible for managing and supervising the purchasing process across multiple restaurant brands, ensuring the availability of food, beverage, operational, and non-food supplies at the right quality, quantity, price, and delivery time. This role will coordinate with suppliers, internal departments, and restaurant teams to support smooth daily operations across Japanese, Chinese, and Italian restaurant concepts.

Key Responsibilities

• Supervise and coordinate daily purchasing activities for multiple restaurant outlets and brands.
• Source, evaluate, and maintain relationships with suppliers and vendors.
• Conduct price comparisons, negotiations, and vendor selection to obtain competitive pricing and favorable terms.
• Ensure the availability of food ingredients, beverages, packaging, equipment, and other operational supplies according to restaurant requirements.
• Monitor purchase orders, delivery schedules, product quality, and supplier performance.
• Coordinate with Kitchen, Cost Control, Warehouse, Finance, and Restaurant Operations regarding purchasing requirements.
• Review purchasing requests and ensure orders are aligned with approved budgets and operational needs.
• Monitor market prices and identify opportunities for cost efficiency and purchasing optimization.
• Ensure purchasing documentation, quotations, purchase orders, and supplier records are properly maintained.
• Handle purchasing issues such as delayed deliveries, product discrepancies, quality issues, and supplier complaints.
• Develop and maintain an updated supplier database, including pricing, product specifications, payment terms, and supplier performance.
• Support the Purchasing Manager in developing purchasing strategies, cost-saving initiatives, and procurement policies.
• Supervise and provide direction to the Purchasing team to ensure efficient and timely execution of purchasing activities.
• Prepare purchasing reports and provide relevant updates to management.
• Ensure purchasing activities comply with company policies, food safety requirements, and applicable procedures.

Requirements

• Minimum Bachelor's Degree in Purchasing, Supply Chain Management, Business Administration, Hospitality Management, or a related field.
• Minimum 3–5 years of experience in Purchasing/Procurement, preferably in the F&B, hospitality, or restaurant industry.
• Experience handling purchasing for multiple outlets or restaurant brands is highly preferred.
• Good knowledge of food ingredients, beverages, restaurant supplies, and operational equipment.
• Strong negotiation, communication, vendor management, and analytical skills.
• Able to compare quotations, analyze pricing, and identify cost-saving opportunities.
• Strong attention to detail and good organizational skills.
• Able to work independently as well as coordinate effectively with multiple departments.
• Proficient in Microsoft Excel/Google Sheets and purchasing or inventory systems.
• Willing to work in a fast-paced restaurant environment.
• Good command of English is an advantage.
