Assistant Operation Lead

Key Responsibilities

·        Manage and maintain inventory records for all store tools and operational assets.

·        Monitor and track the allocation, utilisation, and replenishment of store tools to ensure operational readiness.

·        Prepare operational reports, documentation, and trackers to support business decisions and execution.

·        Coordinate the end-to-end arrangement of Point-of-Sale Materials (POSM), from production planning to store deployment.

·        Track and monitor shipments from China to Malaysia, ensuring timely customs clearance, warehouse receiving, and delivery schedules.

·        Coordinate with warehouse, logistics providers, suppliers, and internal stakeholders to ensure accurate distribution of POSM to targeted retail outlets.

·        Monitor inventory levels of POSM and recommend replenishment when required.

·        Resolve logistics and delivery issues promptly to minimise disruption to retail operations.

·        Manage the planning, preparation, and deployment of product testers for new launches, promotional campaigns, and store replenishment.

·        Work closely with Sales, Marketing, Education, and Warehouse teams to ensure timely tester availability aligned with business priorities.

·        Liaise with internal departments, external vendors, logistics partners, and warehouse teams to ensure seamless operational execution.

·        Support new product launches, promotional activities, and retail campaigns by ensuring all operational requirements are fulfilled.

·        Monitor project timelines and proactively follow up on action items to ensure timely completion.

·        Identify opportunities to improve operational processes, inventory management, and logistics efficiency.

·        Maintain accurate operational records and ensure compliance with company policies and standard operating procedures (SOPs).

·        Support the implementation of new operational initiatives and process improvements to enhance overall business efficiency.

Qualifications & Experience

·        Bachelor's Degree or Diploma in Business Administration, Operations Management, Supply Chain, Logistics, or a related field.

·        Minimum 1–2 years of experience in retail operations, commercial operations, supply chain, or FMCG/beauty industry.

·        Experience managing POSM, tester deployment, inventory control, and logistics coordination is highly preferred.

·        Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment.

·        Proficient in Microsoft Office applications, particularly Excel, with experience using ERP or inventory management systems being an advantage.
