ASSISTANT PROCUREMENT MANAGER

Job Summary

We are looking for an experienced and proactive Assistant Procurement Manager to oversee procurement activities, supplier management, sourcing, and cost optimization initiatives. The successful candidate will work closely with internal departments and suppliers to ensure timely procurement of goods and services while achieving quality, cost, and delivery objectives.

Detailed Job Responsibilities

Job Description:

1. Manage daily procurement activities including PR, PO, quotation comparison, purchasing and order follow-up.
2. Source, evaluate and develop new local and overseas suppliers.
3. Negotiate pricing, MOQ, payment terms, lead time and other commercial terms with suppliers.
4. Monitor supplier performance, including price, quality, delivery and service.
5. Review purchasing requirements and coordinate with Sales, Warehouse, Finance and Operations to ensure sufficient stock availability.
6. Monitor purchase orders, production schedules and shipment arrangements to ensure timely delivery.
7. Conduct cost analysis and identify opportunities for cost reduction and better purchasing terms.
8. Support sourcing and procurement for new products, packaging materials and product development projects.
9. Coordinate product samples, specifications, quotations and supplier documentation.
10. Liaise with overseas suppliers and freight forwarders for import shipments and required documentation.
11. Monitor landed cost and identify opportunities to improve overall procurement and logistics costs.
12. Ensure all procurement activities comply with company SOP, approval procedures and internal controls.
13. Maintain accurate purchasing, supplier and procurement records in the ERP/purchasing system.
14. Develop alternative suppliers and sourcing options for critical products.
15. Prepare procurement reports, supplier comparisons, cost analysis and management updates.
16. Assist in setting and monitoring procurement KPIs.
17. Guide and support junior procurement team members where required.
18. Identify procurement process gaps and recommend improvements.
19. Perform other procurement-related duties and projects assigned by management.

Requirements:

• Diploma or Bachelor's Degree in Supply Chain Management, Procurement, Logistics, Business Administration, or related field.
• 5 - 7 years of procurement or purchasing experience, preferably with supervisory experience.
• Proficient in Bahasa Malaysia, English, and Chinese (spoken and written).
• Strong negotiation, supplier management, and cost analysis skills.
• Experience in a supervisory, team-leading, or management role is preferred.
• Experience dealing with local and overseas suppliers.
• Good understanding of procurement processes, inventory planning, and supplier evaluation.
• Able to work independently, prioritize tasks, and meet deadlines.
