Assistant Project Manager – Restaurant Facilities & Maintenance

Company: TORO Construction & Maintenance LLC
Location: Dade City, FL — In person
Job Type: Full-time
Pay: Depending on experience
Office Hours: Monday–Friday, 8:00 a.m.–5:00 p.m.

About TORO

TORO Construction & Maintenance LLC is a growing commercial contractor serving quick-service restaurants (QSR) and other commercial facilities throughout the Southeast. We coordinate facility maintenance, repairs, and renovation projects, with most projects completed during a single overnight shift.

We are seeking an organized, dependable Assistant Project Manager to manage projects from the initial request through estimating, scheduling, completion, and billing preparation. This position is ideal for someone with service coordination or facilities maintenance experience who wants to learn estimating and grow in project management.

Responsibilities

  • Receive and review project requests, confirm the scope, and identify missing information.
  • Send an introductory email identifying yourself as the assigned Assistant Project Manager and the client’s point of contact.
  • Find qualified subcontractors and verify that their insurance meets company and client requirements.
  • Obtain subcontractor quotes and organize pricing, vendor information, and supporting paperwork.
  • Learn to estimate labor, materials, equipment, travel, and subcontractor costs with training and guidance from the owner.
  • Prepare scopes of work and client estimates, with owner review as you learn.
  • Submit estimates and follow up for client approval before scheduling work.
  • Coordinate approved projects with the subcontractor and client, confirming dates, site access, scope, and completion expectations.
  • Track approved budgets and not-to-exceed (NTE) limits, obtaining approval for changes in scope or pricing.
  • Monitor project progress, address issues, and keep clients informed.
  • Confirm completion and collect and review photos and required documentation.
  • Send the client a completion update with photos and identify any remaining items.
  • Review subcontractor invoices against approved pricing and completed work, resolving discrepancies.
  • Close projects and submit subcontractor invoices and supporting documentation to the billing team.
  • Maintain complete project records, including vendor information, insurance, quotes, estimates, approvals, schedules, photos, and invoices.

Qualifications

  • Experience in project coordination, service dispatch, maintenance coordination, or a related role.
  • Strong organization, attention to detail, and follow-through.
  • Ability to manage multiple short-duration projects and changing priorities.
  • Clear, professional written and verbal communication.
  • Comfort working with numbers, reviewing pricing, and learning estimating.
  • Proficiency with email, spreadsheets, and digital documentation.
  • Ability to work from our Dade City office.

Preferred Experience

  • Experience using ServiceChannel or OpenWrench for work orders, estimates, approvals, and project closeouts.
  • Experience supporting quick-service restaurants (QSR) or other commercial facilities.
  • Understanding of facility maintenance and common restaurant repairs, including plumbing, electrical, HVAC, refrigeration, flooring, doors, painting, and general building maintenance.
  • Experience sourcing subcontractors, verifying insurance, and maintaining vendor records.

Previous estimating experience is a plus, but is not required. We will provide hands-on estimating training for someone who is eager to learn and take on additional responsibility.

Schedule and Work Environment

This is an office-based position with regular hours Monday–Friday, 8:00 a.m.–5:00 p.m. Our field work is primarily completed overnight. Some evening communication may be needed to support scheduled projects; availability expectations will be discussed during the interview.

Compensation and Benefits

  • $50,000–$65,000 annual pay, based on relevant experience.
  • Two weeks of paid time off.
  • Hands-on estimating and project management training.
  • Opportunity to grow with an expanding company.

How to Apply

Submit your résumé and a brief description of your experience coordinating maintenance projects, subcontractors, or commercial service work. Please include any experience with restaurant facilities, ServiceChannel, or OpenWrench.
