About the Job

We are looking for a detail-oriented and organized Assistant Project Manager to support the planning, coordination, and execution of technology projects in a collaborative, remote work environment. This role will focus on tracking project schedules, coordinating cross-functional activities, maintaining project documentation, monitoring deliverables, and helping ensure that project milestones are achieved within established timelines and scope.

The Assistant Project Manager will work closely with Project Managers, software developers, business analysts, QA engineers, IT operations teams, and other business stakeholders to facilitate communication and keep project activities aligned with business objectives. Projects may involve software development, application enhancements, cloud implementations, system integrations, data initiatives, and IT process improvements.

This position is well suited for an early-career professional who understands basic project management principles, communicates effectively, and is interested in developing practical experience with IT project delivery, Agile methodologies, and project management tools.

Responsibilities

  • Assist Project Managers with planning, coordinating, and monitoring IT projects throughout the project lifecycle, from initial requirements and planning through testing, implementation, and project closure.
  • Maintain project schedules, task trackers, milestone calendars, deliverable lists, and dependency records to help ensure work progresses according to agreed timelines.
  • Coordinate with development, QA, business analysis, IT operations, and other cross-functional teams to track assignments, clarify priorities, and follow up on outstanding tasks.
  • Organize project meetings, daily stand-ups, sprint reviews, and status discussions; prepare agendas, document meeting notes, and track action items through completion.
  • Prepare project status reports, progress summaries, presentations, and other documentation for Project Managers and stakeholders.
  • Assist in identifying project risks, issues, resource constraints, and potential delays, escalating concerns to the appropriate Project Manager and supporting follow-up activities.
  • Support Agile and Scrum activities, including sprint planning, backlog tracking, task updates, and coordination between technical teams and business stakeholders.
  • Help gather and document business and technical requirements, project scope, process workflows, and implementation dependencies.
  • Assist with software testing coordination, user acceptance testing (UAT), defect tracking, release preparation, and post-implementation follow-up.
  • Maintain accurate and organized project records, including project plans, requirements documents, RAID logs (risks, assumptions, issues, and dependencies), and project closure documentation.
  • Use project management and collaboration tools to improve visibility into project progress, task ownership, deadlines, and deliverables.
  • Contribute to process improvement initiatives by identifying opportunities to strengthen project tracking, communication, documentation, and team coordination.

Qualifications

  • Master's or Bachelor’s degree in Information Technology, Computer Science, Business Administration, Management Information Systems, or a related field.
  • 1–3 years of experience in project coordination, project management support, IT operations, business analysis, software development, or a related area.
  • Basic understanding of the software development lifecycle (SDLC) and IT project delivery processes.
  • Familiarity with project management methodologies such as Agile, Scrum, or Waterfall.
  • Working knowledge of project management or collaboration tools such as Jira, Microsoft Project, Asana, Trello, Monday.com, or equivalent platforms.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook; familiarity with Microsoft Teams or similar collaboration tools is beneficial.
  • Strong organizational, time-management, and multitasking skills, with attention to detail and the ability to track multiple activities simultaneously.
  • Excellent written and verbal communication skills, including the ability to communicate project updates clearly to technical and nontechnical stakeholders.
  • Ability to collaborate effectively with distributed teams, work independently on assigned tasks, and seek guidance when needed.
  • Strong analytical and problem-solving skills, with the ability to recognize discrepancies, follow up on open items, and escalate potential issues appropriately.
  • Willingness to learn new technologies, project management practices, and IT delivery frameworks.

Preferred Qualifications

  • CAPM, PMP, Certified ScrumMaster (CSM), or other relevant project management certification.
  • Exposure to software development projects, cloud platforms, SaaS implementations, data analytics, or enterprise IT systems.
  • Experience maintaining project plans, meeting minutes, status reports, task trackers, or risk and issue logs.
  • Familiarity with GitHub, Azure DevOps, ServiceNow, or other software development and IT service management tools.
