What they need

Elite Construction & Design is looking for an Assistant Project Manager (APM) to join our growing commercial construction team in Fitchburg, Massachusetts.

This is not a position for someone who wants to sit back and wait for the next assignment. We are looking for someone who is organized, proactive, comfortable following up, and willing to take ownership of their responsibilities.

The APM will report directly to our Vice President of Operations and support multiple Project Managers across a variety of commercial construction projects. This is primarily an office-based position focused on project coordination, documentation, communication, and keeping the many moving pieces of a construction project organized and moving forward.

At Elite, you will have direct access to company leadership, work across a variety of projects, and have the opportunity to make an impact. We are growing, but we have maintained a close-knit environment where individual contributions are noticed and good ideas are encouraged.

What You'll Do

You will typically support multiple active projects at one time, generally 5–10 depending on project size and complexity.

Responsibilities include:

  • Prepare, track, distribute, and follow up on RFIs and submittals
  • Maintain RFI, submittal, change order, procurement, and other project logs
  • Assist with change order requests, pricing documentation, approvals, and tracking
  • Coordinate project documentation and maintain organized electronic project files
  • Assist with subcontract and contract administration
  • Coordinate with subcontractors and vendors to obtain required information, pricing, submittals, documentation, and delivery information
  • Assist with procurement and material tracking
  • Support project schedules and look-ahead planning
  • Prepare meeting agendas, minutes, follow-up items, and other project correspondence
  • Assist with permit and inspection coordination
  • Support AIA-style requisition and payment documentation
  • Assist with project closeout, punch lists, warranties, O&M manuals, and final documentation
  • Maintain accurate and current project information in Pipedrive and other company systems
  • Assist Project Managers with client, architect, engineer, subcontractor, and vendor communications as directed
  • Occasionally assist our Estimating/Preconstruction team with takeoffs, subcontractor and vendor pricing, scope reviews, bid comparisons, and proposal preparation
  • Assist with gathering project cost and billing documentation while the Project Manager retains responsibility for project financial management
  • Identify missing information, potential delays, or administrative gaps and bring them to the Project Manager's attention early
  • Look for practical ways to improve project organization, tracking, communication, and internal processes
  • Perform other project-related responsibilities as needed to support the team

What We're Looking For

Commercial general contracting experience is strongly preferred, but it is not the only path to this position. We are also interested in candidates with experience working for subcontractors, in other areas of construction, or those who have developed strong construction knowledge through education and hands-on experience.

There is no specific degree requirement for this position.

The right person will be:

  • Highly organized and detail oriented
  • Proactive and able to work without constant direction
  • Accountable for deadlines and follow-through
  • Comfortable managing multiple projects and competing priorities
  • Confident communicating by phone, email, and in person
  • Comfortable following up repeatedly when information is outstanding
  • Willing to ask questions rather than make assumptions or allow an issue to sit unresolved
  • Able to recognize potential problems and raise them early
  • A strong written and verbal communicator
  • Team oriented with a willingness to jump in where needed
  • Comfortable working in a fast-paced construction environment
  • Interested in learning, improving, and taking on additional responsibility over time

Experience reading construction drawings and specifications is preferred, but we are willing to develop the right candidate who has strong construction fundamentals and a desire to learn.

Experience with Pipedrive, QuickBooks Online, ExakTime, SharePoint/Microsoft 365, and AIA-style construction documentation is beneficial. Experience with comparable construction management systems is also valuable.

The Projects

Our APMs gain exposure to a broad mix of commercial construction, including:

  • Tenant fit-outs
  • Commercial renovations
  • Occupied-space construction
  • Ground-up construction
  • Institutional and municipal projects
  • Retail construction
  • Office construction

Why Elite?

Elite Construction & Design combines the opportunities of a growing commercial contractor with the accessibility and culture of a close-knit company.

You won't be several layers removed from decision-makers. You'll work directly with Project Managers and company leadership, see how projects and the business operate, and have an opportunity to contribute ideas.

Our office is casual but professional, fast-paced, collaborative, hardworking, and direct. We take the work seriously without taking ourselves too seriously. People joke around, help each other, and step in when something needs to get done.

Employees who demonstrate initiative, accountability, and strong performance have opportunities to take on increased responsibility and continue growing within the company.

Pay: $75,000.00 - $85,000.00 per year
