The Assistant Property Manager helps maintain occupancy, supports rent collection and account follow-up, coordinates resident matters and property needs, and helps ensure the office operates in a professional, organized, and compliant manner.

The ideal candidate is organized, dependable, and service-oriented, with property management or leasing experience and the judgment to manage competing priorities. This role requires a hands-on team member who communicates clearly, follows through consistently, maintains accurate records, and can step in to support onsite operations when the Property Manager is unavailable. The ideal candidate will also carry themselves with professionalism, accountability, and integrity in all interactions.

Essential Duties and Responsibilities:

  • Support the Property Manager with daily property operations, office administration, resident relations, leasing activity, and operational follow-up

  • Serve as a professional point of contact for prospective residents, current residents, vendors, and visitors, and assist with onsite operations when the Property Manager is unavailable

  • Support the full leasing cycle, including responding to inquiries, conducting tours, processing applications, preparing lease documents, coordinating move-ins, and assisting with renewals

  • Assist with rent collection, resident ledger review, delinquency follow-up, payment documentation, and communication regarding outstanding balances in accordance with company procedures

  • Prepare and distribute leases, notices, correspondence, and other resident or property documentation accurately and within required timelines

  • Use AppFolio to maintain accurate records for prospects, applicants, residents, leases, ledgers, notices, communications, work orders, and general property activity

  • Respond to resident questions, concerns, complaints, and lease-related matters in a timely, professional, and service-oriented manner, and escalate issues as appropriate

  • Coordinate with the maintenance team and vendors regarding service requests, unit turns, inspections, scheduling, resident access, and follow-up

  • Assist with move-in, move-out, and routine property inspections, document property and unit conditions, and track required follow-up

  • Support occupancy, renewal, resident retention, and marketing goals through consistent communication, follow-through, and customer service

  • Assist with invoice processing, purchase documentation, reporting, file maintenance, and other administrative tasks that support accurate property records and cost controls

  • Help monitor compliance with lease requirements, Fair Housing practices, applicable landlord-tenant requirements, company policies, and established operating procedures

  • Maintain an organized and professional leasing office, resident files, electronic records, and property documentation

  • Communicate property needs, resident concerns, operational risks, and unresolved items promptly to the Property Manager

  • Perform other duties as assigned in support of property operations and business needs

Key Qualifications:

  • Prior experience in property management, assistant property management, leasing, resident services, or a related field preferred

  • Experience using property management software such as AppFolio for leasing, resident accounts, notices, communications, work orders, and property records preferred

  • Working knowledge of leasing administration, rent collection, delinquency follow-up, resident relations, and property operations

  • Understanding of Fair Housing requirements and applicable landlord-tenant practices, with the ability to follow company policies and established procedures

  • Strong interpersonal, written, and verbal communication skills, including the ability to address resident concerns professionally

  • Strong organizational, follow-up, time management, and documentation skills with attention to detail

  • Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced, customer-facing environment

  • Ability to work independently, exercise sound judgment within assigned authority, and contribute to a team-oriented environment

  • Professional demeanor, dependable attendance, integrity, discretion, and a positive, service-oriented attitude
