Assistant Spa Manager

About Us

We are a growing wellness and medical spa company in the San Jose area, known for warm hospitality, beautiful spaces, and results-driven treatments. We're looking for an Assistant Spa Manager who will run the day-to-day operations of our locations like they're their own small business.

The Role

You are the face of our spas and the engine behind them. You will own the guest experience from booking to checkout, keep operations running smoothly behind the scenes, and act as manager on duty during your shifts. This is a multi-location role: your schedule may place you at a different location each day.

What You'll Do

• Serve as manager on duty: open and close the location, own the daily checklists

• Greet every guest warmly; manage check-in, intake forms, and consent paperwork

• Own the daily schedule: bookings, confirmations, reminders, waitlist management, and rebooking

• Prepare treatment rooms between appointments and keep supplies stocked

• Handle escalated guest concerns with professionalism and resolve them on the spot

• Recommend treatment upgrades, packages, memberships, and retail products in a consultative, never-pushy way

• Own cleanliness and presentation: lobby, restrooms, laundry flow, trash, and supply rooms

• Handle payments, reconcile the cash drawer, and process gift cards

• Answer phones and messages promptly

• Monitor inventory par levels and flag reorders

• Enforce our cancellation and no-show policy fairly and consistently

What We're Looking For

• 2+ years in customer service, hospitality, or spa/salon front desk, with at least some shift-lead or supervisory experience

• A natural owner: you see what needs doing and do it without being asked

• Warm, polished, professional presence with excellent communication skills

• Comfortable recommending upgrades that genuinely fit the guest

• Highly organized and calm under pressure on busy days

• Reliable, punctual, and a true team player

• Reliable transportation and willingness to work across our San Jose-area locations

• Comfortable learning booking and POS software (Fresha, Vagaro, or Zenoti experience a plus)

• Able to stand for extended periods and lift up to 25 lbs

• Weekend availability required

Nice to Have

• Esthetician or massage therapy license

• Bilingual English/Spanish

• Experience in a HIPAA-sensitive environment
