Job Overview

The Assistant Warehouse Manager assists the Warehouse Manager in overseeing warehouse operations, including shipping, receiving, inventory control, warehouse organization, employee oversight, safety compliance, facility maintenance, and continuous improvement initiatives. The role serves as a key operational leader, supporting daily warehouse activities while helping ensure inventory accuracy, operational efficiency, regulatory compliance, and customer service objectives are achieved. The Assistant Warehouse Manager serves as a backup to the Warehouse Manager and may oversee daily warehouse operations in their absence.

EDUCATION AND EXPERIENCE

To perform the essential duties and responsibilities of this job in a satisfactory manner, the Assistant Warehouse Manager shall have:

• Minimum of four years experience in a warehouse environment, preferably in a GMP regulated environment in the food, pharmaceutical, medical device, and / or nutraceutical industry, with inventory control and supervisory oversite experience.
• Language, mathematical aptitude, and reasoning abilities sufficient to allow for the completion of the job duties outlined herein.
• Excellent communication skills both written and verbal.
• Fluency with the Microsoft suite of office products.

1. ESSENTIAL DUTIES AND RESPONSIBILITIES

• Planning & Coordination
• Work with the warehouse manager in reviewing the open sales orders to create a daily order processing timeline and ensure scheduled shipment dates are met.
• Ensure team shift priorities align with shipping deadlines.
• Creates pick lists for international orders
• Following up with respective team members & international customers via email regarding:
• Shipping specs
• Order inquiries
• Review closed packets for accuracy before submission
• Review BOL / ASN completion across both Domestic and International orders.
• Assist with monitoring and follow up on open pick list issues.
• Reviews picked orders. (As needed)
• Communicates with the Inventory and Quality Teams for labeling projects, and product inspection. (As needed)
• Creates & reviews BOLs for booking confirmation (As needed)
• Assist in overseeing the scheduling / receiving of all incoming finished products.
• Assist with scheduling incoming shipments of finished products and all items related to the manufacture of finished products. (As needed)
• Assist with the proper put-away of finished products in Warehouse. (As needed)
• Assist with the scheduling of outgoing shipments of finished products, labeling projects, etc. (As needed)
• Assist with physical inventory counts. (As needed)
• Assisting with various duties / tasks as seen necessary and directed by the Warehouse Manager, Operations Manager, or Ownership.
• Supervisory Responsibilities as noted throughout
• Support & Oversight
• Maintain the warehouse and grounds in a neat, orderly fashion.
• Assist in overseeing all employees in the Warehouse Department.
• Monitor workflow efficiency and recommend operational improvements.
• Assist with managing space utilization and organization.
• Assist in overseeing completion of assigned projects and special assignments.
• Assist in the maintenance of a culture of safety and compliance.
• Assist in the performance of internal audits of the warehouse. (As needed)
• Assist in all aspects of facility maintenance, to include scheduled and non-scheduled forklift maintenance.
• Provide information as required during audits, to include audits performed by government regulators and third-party agencies.
• Act as first point of contact for RF or label-related escalations.
• Leadership and Employee Development
• Assist with onboarding and training of warehouse personnel.
• Provide daily work assignments and prioritize departmental workloads when needed.
• Monitor employee performance and provide coaching when needed.
• Participate in employee evaluations and performance discussions.
• Identify training opportunities and recommend development plans.
• Promote teamwork, accountability, and adherence to company standards.
• Attendance and Scheduling
• Monitor employee attendance and departmental coverage.
• Assist with labor planning.
• Report attendance concerns and policy violations to the Warehouse Manager.
• Coordinate staffing priorities to meet operational requirements.
• Inventory Oversight
• Support and oversee inventory control operations for finished goods, raw materials, packaging components, and warehouse inventory locations.
• Maintain inventory accuracy through proper transaction processing, reconciliation, and inventory verification activities.
• Monitor inventory discrepancies and conduct preliminary investigations involving quantity variances, location issues, transaction errors, and inventory adjustments.
• Review inventory reports and communicate inventory concerns, trends, shortages, overages, and accuracy issues to the Warehouse Manager.
• Review inventory adjustment requests and ensure supporting documentation is complete and accurate before approval.
• Coordinate and assist with cycle counts, mid and year-end physical inventory counts.
• Monitor warehouse inventory locations and storage practices to ensure product identification, inventory accuracy, and space utilization.
• Coordinate inventory-related activities between Warehouse, Operations, Quality, Supply Chain, Regulatory and other departments as required.
• Assist in the development, maintenance, and implementation of inventory procedures, work instructions, and inventory-related SOP’s.
• Oversee and support inventory investigations, root cause analysis, corrective actions, and continuous improvement initiatives related to inventory accuracy and warehouse efficiency.
• Oversee the preparation of inventory performance reports, cycle count results, inventory accuracy measures, and other KPI’s for management review.
• Provide guidance and training to warehouse personnel regarding inventory procedures, inventory transactions, product handling requirements, and inventory best practices.
• Collaborate with ERP administrators, IT, and other departments regarding inventory system issues, reporting enhancements, and process improvements.
• Communication & Documentation
• Review team communication to ensure alignment (SO adjustments, label updates, etc.)
• Draft or revise SOPs for recurring tasks (packet review, label coordination)
• Provide team-wide updates when shipping policies change in the Warehouse Managers absence.

Pay: $38.46 - $43.95 per hour

Expected hours: 35.0 per week
