Position Summary

The Associate Billing Solutions Architect supports the configuration, implementation, and adoption of Alleva's RCM solutions for new clients. Working alongside a Billing Team Lead who provides guidance, build review, and escalation support, you'll manage the billing implementation from start to finish: activating the billing product, initiating the Waystar connection, auditing and building billing rules, training the client's billing team, and supporting them through go-live.

Acting as both a builder and a trusted billing consultant, you'll guide clients through decisions that directly affect their cash flow. After go-live, you'll lead a four-week nurture program so claims submit cleanly and payments are received before the client is handed off to long-term Customer Success.

What You'll Do

Client Engagement & Consultation

• Serve as the primary billing contact from project assignment through handoff
• Lead welcome and kickoff calls to align on products purchased, client needs, key contacts, and go-live timelines
• Audit client rate sheets and consult on billing workflows, authorizations, payer requirements, and best practices across levels of care
• Lead Q&A and build approval meetings so clients understand and validate their billing configuration
• Partner with the Billing Team Lead on complex builds, client escalations, and billing decisions outside standard configuration

Billing Build & Configuration

• Activate Alleva Billing and ETT for new clients
• Build billing codes, payor lists, session types, and billing rules within the Alleva platform
• Initiate the Waystar clearinghouse connection, set up user accounts, and manage payer enrollments
• Partner with Onboarding Specialists and builders so services and session types are mapped correctly to billing codes

Training & Implementation

• Schedule and deliver billing training covering Alleva Billing, Waystar, and claims QA
• Tailor training to each client's billing team, whether in-house billers, outsourced billing partners, or administrative staff
• Coordinate with Training & Implementation Specialists so billing readiness aligns with the overall go-live plan

Nurture & Handoff

• Conduct post-go-live follow-up to confirm claims are being submitted and to resolve any issues
• Lead a four-week nurture program to confirm claim submission is running smoothly and payments are being received
• Transition clients to their long-term Customer Success Manager with complete documentation
• Maintain accurate project records and client documentation in HubSpot throughout the engagement

What You Bring

Required

• 2+ years of behavioral health billing industry experience
• Working knowledge of behavioral health billing codes (CPT, HCPCS, revenue codes) and levels of care such as detox, residential, PHP, IOP, and outpatient
• Understanding of payer requirements, authorizations, claim submission, and the full revenue cycle
• Ability to translate client billing requirements into system configuration
• Strong project management skills with the ability to manage multiple implementations at once
• Excellent communication skills with both billing professionals and non-technical staff
• Experience with virtual meeting and training platforms

Preferred

• Experience with Waystar or another healthcare clearinghouse
• Experience with EMR/EHR billing modules or RCM software implementation
• Billing or coding certification (CPB, CPC, or similar)
• Experience with HubSpot or a comparable CRM platform
• Previous experience in SaaS implementation, onboarding, or customer success

Working Conditions

• In-office four days per week with one optional designated work-from-home day
• Travel up to one week per month (most commonly one week per quarter)
• Manages multiple concurrent client projects with defined go-live deadlines
• Must demonstrate high ethical standards when handling confidential client, patient, and financial information
• May require occasional evening or weekend work to accommodate client schedules
