What they need

Audiology Receptionist / Client Services Officer

The opportunity

Knox Audiology is seeking a warm, reliable and client-focused Audiology Receptionist to join our friendly team across our Wantirna and Boronia clinics.

This role is about more than reception. It is about helping to turn a client's concern into a clear next step to understand their health and get the support they need. As one of the first points of contact for our clients, you will play an important role in helping people feel welcomed, reassured and supported as they seek answers for their ear and hearing concerns.

This role may be particularly suited to someone currently working in a hearing clinic, allied health, optical, dental, GP or specialist medical setting who enjoys client care and healthcare administration, but is looking for a more client-centred environment without sales targets or commission pressure. You will still use your client service, clinic coordination and hearing healthcare knowledge, but in a setting focused on care, education, clinical support and long-term community relationships.

What you’ll do

You will support the day-to-day running of the front desk and help ensure clients, Audiologists and Specialists receive a high standard of administrative and client service support.

● Client service and reception: Warmly greet clients, answer and direct inbound calls, respond to enquiries, take messages and help clients feel supported throughout their visit.

● Appointment and diary coordination: Book and confirm appointments using our practice management systems, manage recalls and help ensure schedules run as smoothly as possible across busy clinic days.

● Medical administration and claiming: Accurately process payments, invoices and third-party claims, including Medicare, DVA, WorkCover and the Hearing Services Program where applicable.

● Communication and correspondence: Manage email inboxes, prepare and send reports to doctors and specialists, process client requests, scan and maintain files, and handle confidential medical information with care.

● Clinic and specialist support: Assist Audiologists and visiting Specialists by keeping rooms stocked, supporting smooth client flow, coordinating repairs or deliveries, and helping maintain a clean, professional clinic environment.

● Basic hearing aid support: Provide simple hearing aid troubleshooting and minor repairs, such as checking batteries, changing wax filters, domes or tubing, and coordinating manufacturer repairs. Training will be provided.

What you’ll bring to the role

The ideal candidate is a calm, dependable and service-oriented professional who enjoys helping people and is comfortable working in a busy healthcare environment. Full-time is preferred; however, we are open to considering part-time applicants with strong medical reception, hearing clinic or allied health experience who are available for a minimum of 4 days per week. Flexibility to support a later shift on a Thursday evening and up to one Saturday per month will be regarded favourably.

You will be someone who can remain warm and professional when the phone is ringing, clients are arriving and priorities are shifting. You do not need to know everything about audiology before starting, but you do need to be willing to learn, ask questions and take pride in the quality of your work.

● Medical reception or administration experience: Previous experience in audiology, allied health, GP, specialist consulting, dental, optical or another busy healthcare environment will be highly regarded.

● Confidence with phones and client enquiries: You are comfortable answering calls, managing enquiries, taking accurate messages and providing clear, professional communication.

● Strong attention to detail: You understand that accurate bookings, billing, claims, correspondence and file management matter in a medical environment.

● Warm and empathetic communication: You can support clients who anxious, frustrated or unsure about what help they need.

● Reliable and team-focused approach: You understand that reception is central to the smooth running of the clinic and that your contribution matters to clients, clinicians and colleagues.

● Computer confidence: You have sound computer skills, including email, Microsoft Word and Excel, and can learn new practice management or CRM systems.

● Audiology knowledge is highly regarded: Previous experience with hearing aids, the Hearing Services Program, Medicare claiming or specialist medical administration would be beneficial, but is not essential.

Benefits of working for Knox Audiology

Knox Audiology offers a supportive, values-led team environment where client care, collaboration and professional growth are genuinely important.

● 9-day fortnight available: Enjoy improved work-life balance with an accrued day off each fortnight.

● No sales targets: Work in a clinical environment focused on client outcomes, education and genuine care.

● Variety in your day: This role includes client service, medical administration, phone enquiries, appointment coordination, specialist support and hearing aid troubleshooting.

● Training and development: Learn about audiology, hearing healthcare, specialist medical administration and third-party claiming.

● Supportive team culture: Participate in regular team meetings, training and quarterly team-building events.

● Meaningful work: Help clients and families access care that can improve communication, connection and quality of life.

Remuneration will be based on experience and background.
