Back Office

Since 2004, Fragrance Science has been creating, manufacturing, and exporting fragrances worldwide for use in detergents, household care products, cosmetics, and fine fragrances.

We are currently looking for a highly motivated Back Office to join our sales team.

What will your responsibilities be?

• Provide executive and administrative support to the Front Office and Sales Department, adapting to its current needs and priorities.
• Assist in day-to-day sales activities under the guidance of the Sales Coordinator and Backoffice Coordinator, including preparing projects, calculations, orders, commercial offers, and sales contracts/PI, always under supervision and with approval from sales executives or area sales managers.
• Screen and channel incoming internal and external information (emails, phone calls), and contact clients as needed.
• Keep management informed on sales activities and operations by creating appropriate documents, reports, overviews, plans, forecasts, and notes as requested by the Sales Coordinator.
• Participate in organizing business meetings, visits, and trips, including preparing budgets and reporting on expenses.
• Liaise between internal departments (Regulatory, Logistics, Laboratory, Finance, Production, Quality Control, Purchase, Marketing, Evaluation) to follow up on documents and the current status of projects and orders.
• Availability to travel with other commercials as needed (Around 25%).

What are we looking for?

• Proficiency in Microsoft Office (Advanced in Excel) and CRM software.
• Proficiency in Power BI, and SAGE
• Advanced in English
