Position Summary
Zona Seca, Inc. is seeking an organized, empathetic, and detail-oriented Bilingual Office Manager to oversee the front- and back-office operations of our state-licensed DUI and substance abuse treatment program. The Office Manager acts as the central hub for client intake, scheduling, California DMV and court-mandated compliance tracking, billing, and staff administrative support. This is a 32-hour per week position, and we cover 100% of health, dental, vision and life insurance for the employee. We also provide a 403-b plan with a match.
Key Responsibilities
- Client Intake & Front Office Management:
- Welcome court-referred and DMV-referred DUI program participants.
- Manage enrollment paperwork, program fee agreements, payment collections, and payment plans.
- Provide clear, compassionate guidance in English and Spanish regarding program rules, class schedules, and completion milestones.
- Compliance & Record Keeping:
- Maintain accurate electronic client records and physical files in compliance with California DUI program regulations and confidentiality laws (HIPAA/42 CFR Part 2).
- Track client attendance, missed sessions, and make-up classes.
- Prepare routine reporting for county probation departments, courts, and the California DMV.
- Administrative & Staff Support:
- Supervise or coordinate front-desk administrative staff.
- Manage office inventory, equipment maintenance, and facility scheduling for counseling and educational groups.
- Coordinate with counselors and the Program Coordinator to streamline client flow and handle escalated customer service inquiries.
Qualifications
- Education & Experience:
- High school diploma or GED required; Associate’s or Bachelor’s degree in Business Administration, Healthcare Management, or a Human Services field is a plus.
- Minimum of 2+ years of office management, administrative supervision, or front-desk coordination experience—ideally within a behavioral health, medical, or California DUI/substance abuse program.
- Language Skills:
- Demonstrated full professional bilingual fluency in English and Spanish (spoken, read, and written).
- Technical & Administrative Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and electronic record/scheduling software.
- Working knowledge of (or ability to quickly learn) California Title 9 DUI program requirements.
- Strong organizational, problem-solving, and de-escalation skills in a high-volume public-facing environment.
