Billing Coordinator

Responsibilities

• Manage the end-to-end billing process, including generating invoices, verifying billing data, and ensuring accuracy in accordance with GAAP (Generally Accepted Accounting Principles) and company policies
• Utilize various financial software such as Workday, Paychex, QuickBooks, Sage, Xero, PeopleSoft, Ceridian, ADP, Kronos, UltiPro, and other accounting systems to input data and reconcile accounts
• Perform account reconciliation and balance sheet analysis to ensure all billing records are precise and up-to-date
• Handle accounts receivable management by monitoring overdue payments, following up with clients, and processing payments efficiently
• Conduct detailed account analysis using Excel data analysis techniques to identify discrepancies or anomalies in billing data
• Maintain confidentiality of sensitive information while managing large volumes of data entry with high accuracy
• Support internal audits by preparing documentation related to billing transactions and ensuring compliance with SOX (Sarbanes-Oxley Act) controls
• Collaborate with cross-functional teams including accounting, finance, customer service, and external vendors to resolve billing issues promptly

Qualifications

• Proven experience in accounting or finance roles with a focus on billing or bookkeeping; experience with governmental or non-profit accounting is a plus
• Strong knowledge of accounting concepts such as debits & credits, journal entries, general ledger accounting, and account reconciliation
• Proficiency in financial software including QuickBooks, Sage, Xero, PeopleSoft, Ceridian, ADP, Kronos or similar platforms; familiarity with Workday and Paychex is preferred
• Excellent skills in Microsoft Office Suite with advanced Excel capabilities for data analysis and spreadsheet management
• Demonstrated understanding of GAAP standards and technical accounting principles
• Ability to handle confidential information discreetly while maintaining high levels of accuracy in data entry and account management
• Strong numeracy skills combined with attention to detail for performing balance sheet reconciliation and account analysis
• Effective communication skills for customer service interactions and collaborating across teams
• Experience with accounts payable/receivable processes and credit analysis is advantageous
