Fairfield and Woods, P.C. (FW), a well-established law firm in Denver, Colorado, is seeking a Billing Coordinator to join our administrative team!

As the Billing Coordinator, you will get to work closely with attorneys, clients, and other support staff to make sure that the firm's client invoices are done right and delivered on time. You'll be responsible for ensuring that all billing arrangements, rate exceptions, discounts, write-downs, and write-offs are properly enforced. The ideal candidate is flexible and highly committed to quality, customer service, teamwork, and supporting Firm and department goals.

Responsibilities

  • Providing attorneys and support staff with assistance in the paperless billing process.
  • Initiating billing workflows from start to finish by creating, preparing, and submitting prebills.
  • Updating prebills with accurate fees, costs, and narratives.
  • Ensuring paper and E-bills are processed and delivered in a timely manner.
  • Managing rate exceptions, alternative fee arrangements, and other billing-related fields.
  • Configuring E-billing vendor sites with appropriate clients, matters, timekeepers, budgets, and rates as needed.
  • Collaborating with billing attorneys and support staff on E-bill appeals when required.
  • Consulting with billing attorneys, support staff, and occasionally with management on billing policies.
  • Responding to billing, accounts receivable, and work-in-process inquiries and generating necessary reports.
  • Processing cash receipts, preparing bank deposits, and maintaining client account status.
  • Monitoring and tracking client payments and researching discrepancies.
  • Managing accounts receivable records and client files and providing information to attorneys for client audit letters.

While this position is primarily responsible for the above responsibilities, the hired candidate will also support the accounting team to carry out various accounting tasks such as posting journal entries and reconciling bank accounts from time to time. Therefore, candidates must have relevant knowledge to perform detailed basic accounting tasks.

Qualifications

  • High school diploma required.
  • Minimum of 4 years of legal billing or similar experience.
  • Knowledge of accounting principles and demonstrated ability to apply this knowledge to perform detailed basic accounting tasks and procedures accurately.
  • Reliability, teamwork, professionalism, ability to multi-task, and attention to detail are essential.
  • Excellent organizational and time management skills.
  • Proficient with Microsoft Office suite, including Excel and Outlook, and Adobe Pro.
  • A willingness to be flexible with time, assist where the need arises, and adjust to a changing work environment.
  • Ability to write and communicate effectively (both orally and in writing), tactfully, and professionally with employees, clients, and attorneys.
  • Ability to work independently, take initiative, and routinely problem-solve.

Preferred Qualifications

  • Experience in a law firm or professional services environment preferred.
  • College degree/certificate desirable.
  • Experience with e-billing systems and SurePoint/LMS+ accounting software are a plus.

The above is intended to describe the general content, requirements, and qualifications for the position. It is not intended to be an exhaustive statement of all duties, responsibilities, or requirements. Duties and responsibilities may change based on the needs of the Firm.

Compensation & Benefits

The starting hourly range for this position is $31.25-$38.50/hour based on education and experience. The actual compensation will be determined based on experience and other factors permitted by law.
