Bookkeeper

We are looking for a Bookkeeper to join our fast growing social media management company to run accrual accounting in a multi-entity setting. You will code activity, keep AP/AR and the bank current, post the accrual entries that make each month true, close the books, and produce the reports we actually use.

The ideal candidate will have a change mindset and will be able to operate in a fast paced environment. This candidate will be focused on accuracy and efficieny, leveraging software to automate repeated workflows.

You will report to the CFO.

Responsibilities
Setup and maintenance

• Stand up and maintain each entity file on the accrual method, including opening balances
• Keep the chart of accounts clean and consistent; maintain class, location, and job dimensions
• Maintain customers, vendors, items, 1099 tracking, and sales tax
• Map bank, credit card, loan, and clearing accounts 1:1
• Follow the permission and approval path as designed
• Maintain rules as required in the QuickBooks system Seek to automate as much of the day to day as possible through existing and new software solutions

Weekly

• Code bank and credit card activity from the feeds
• Enter bills and prepare payment runs
• Issue invoices and credits, apply cash, and clear undeposited funds
• Attach and file receipts from email and Drive
• Import or journal payroll from payroll system
• Post recurring journal entries
• Track 1099 activity as you go
• Handle sales and use tax entries
• Record intercompany due-to / due-from

Accrual accounting

• Accrue expenses at period end
• Amortize prepaids
• Track deferred revenue and deposits
• Post GRNI / unbilled activity if the entity uses it
• Enforce a clean period cutoff

Month-end close

• Reconcile every bank and credit card to $0
• Tie AR and AP aging to the balance sheet
• Complete prepaid, accrual, and deferred-revenue rollforwards
• Maintain fixed assets and depreciation, or hand off a clean package
• Handle inventory / WIP only when it is real
• Record loan, equity, and draw activity
• Tie out intercompany
• Substantiate the balance sheet

Reporting you produce

• Monthly P&L, balance sheet, and cash flow
• AR and AP aging
• Budget vs. actual
• Class / location P&L
• Entity packs in a consistent format
• Accrual-to-cash bridge
• Tax / PBC package: trial balance, reconciliations, 1099s, fixed-asset rollforward, and support

Requirements

• Adaptive to change in a high paced work environment
• Hands-on bookkeeping on the accrual method
• Comfortable in QuickBooks Online across more than one company file
• Solid AP, AR, bank recs, and month-end close experience
• Can produce P&L, balance sheet, cash flow, and aging reports that tie
• Accurate, deadline-driven, and organized with receipts and support
• Comfortable working a close checklist and flagging work that is out of scope

Tools / systems

• QuickBooks Online (one file per entity)
• Bank and credit card feeds
• Receipts from email and Google Drive

What success looks like

• Every entity file is current, reconciled, and close-ready on schedule
• Aging, recs, and rollforwards tie to the balance sheet
• Monthly packs go out in the same format, without a scramble
• The CFO can trust the numbers and does not have to rebuild them

Pay: $60,000.00 - $75,000.00 per year
