Position Summary

Apexx Mechanical AZ LLC is a growing commercial plumbing contractor seeking an experienced part-time bookkeeper. This position is responsible for maintaining accurate financial records, processing payroll, supporting construction billing, and tracking costs by project.

The successful candidate will have construction or contractor bookkeeping experience and proficiency with either QuickBooks or Odoo.

Responsibilities

• Set up and maintain QuickBooks or Odoo for a construction contractor.
• Maintain the chart of accounts, customers, vendors, employees, projects, and job-cost categories.
• Process employee payroll and review timecards.
• Track regular hours, overtime, deductions, reimbursements, and payroll adjustments.
• Maintain payroll records and payroll tax liabilities.
• Track labor and other costs by project.
• Manage accounts payable and accounts receivable.
• Enter and categorize bills, expenses, deposits, and payments.
• Reconcile bank and credit-card accounts.
• Prepare customer invoices and monitor outstanding receivables.
• Assist with progress billings, retainage, change orders, lien waivers, and payment applications.
• Maintain employee, vendor, customer, and subcontractor records.
• Prepare job-cost and financial reports for ownership.
• Coordinate with management and outside accounting professionals when needed.

Required Qualifications

• Previous bookkeeping experience with a construction contractor or skilled-trade company.
• Proficiency with QuickBooks or Odoo.
• Experience setting up or organizing an accounting system.
• Hands-on payroll-processing experience.
• Knowledge of accounts payable, accounts receivable, and bank reconciliations.
• Understanding of construction job costing, progress billing, retainage, and change orders.
• Strong attention to detail, organization, and follow-through.
• Ability to work independently and protect confidential financial and employee information.
