We are CQC-regulated and B Corp certified, and we work in partnership with NHS commissioners and local universities to provide high-quality, person-centred care. We're looking for an organised, warm and dependable Business Administrator to help keep Plane Tree Court running smoothly for our residents, their families and our team.
The Role
As Business Administrator, you'll provide efficient, organised and person-centred administrative support to the home, reporting to the Registered Home Manager. You'll be the friendly first point of contact for residents, families, visitors and professionals, while keeping accurate records, supporting CQC compliance, and looking after the financial and HR administration that keeps the home running.
Key Responsibilities
Welcome and customer service
- Act as the first point of contact for residents, families, visitors and professionals, giving a warm, professional welcome
- Respond promptly and courteously to enquiries by phone, email and in person, and manage reception cover during working hours
- Make sure all visitors are identified and recorded in line with safeguarding procedures, including ID checks
- Support show-arounds for prospective residents and families, delivering the Serencroft script and managing the customer journey
- Support with procurement and ordering
Safeguarding, quality and safety
- Understand safeguarding principles for adults at risk and report any concerns or allegations immediately to the Home Manager or safeguarding lead
- Maintain GDPR compliance and strict confidentiality when handling resident, staff and operational information
- Support the home's Quality Assurance Programme and keep the infection prevention and control folder up to date for external visits and inspections
- Follow health and safety procedures, including managing reception during a fire alarm, emergency or infection outbreak
Administration and records
- Manage day-to-day administration, correspondence, reports, letters and meeting minutes
- Keep the trackers that support CQC compliance up to date and maintain accurate records and documentation
Finance
- Keep accurate records of residents' personal monies and the home's petty cash
- Record resident documentation relating to residency and funding accurately, and liaise with the central finance team on funding queries
- Help the management team with weekly reporting for central management
HR administration
- Support the Home Manager with recruitment, including advertising, interview minutes and follow-up of offers
- Manage new starter HR files in line with the Safer Recruitment checklist, and process pre-employment checks and onboarding with Head Office HR
- Keep HR compliance data up to date, including supervisions, DBS, right to work, appraisals and probation reviews
- Check rota, annual leave and absence queries ahead of each payroll cut-off, and keep sickness records current for the weekly HR meeting
Training records
- Keep training and workforce data up to date, and produce the weekly training matrix for management review
- Check that new starters have completed their mandatory training before they begin
What We're Looking For

- Previous administrative experience
- Strong communication and organisational skills, with the ability to prioritise a varied workload
- Good IT and customer service skills, and proficiency in Microsoft Office
- Knowledge of HR or payroll systems
- GCSE Maths and English
- A friendly, warm and professional manner, and the ability to stay calm under pressure
- Attention to detail, a proactive approach and a team-player attitude
- Right to work in the UK and willingness to undergo an Enhanced DBS check
Desirable
- Experience in a care home setting
- An understanding of care sector regulations
- NVQ Level 2 or 3
What We Offer
- A varied, people-focused role at the heart of a supportive, values-led care home team
- Ongoing training and development within a multi-site care group
