What they need
Renterprice is a growing vehicle hire and repair business based in Birmingham. We are looking for a proactive, organised and commercially minded Business Development & Office Administrator to help manage the day-to-day office while also playing a part in growing the business.
This is not a purely administrative role. A significant part of the position will involve finding new customers, generating leads, building relationships with businesses and helping increase vehicle bookings and repeat commercial accounts.
We are looking for someone who is excited by the idea of joining a small, growing business and helping develop it into a much larger operation.
You will be responsible for a mixture of:
- Business development and lead generation
- Customer service
- Office administration
- Vehicle hire bookings
- Invoicing and payments
- Spreadsheets and record keeping
- Follow-ups and customer relationship management
A large part of the role will involve actively generating new business rather than simply waiting for enquiries to come in.
You may be researching potential customers, calling businesses, sending emails, following up leads, preparing quotes and building relationships with companies that may need vehicle hire.
Business development responsibilities
You will be expected to:
- Research and identify new business opportunities
- Generate your own leads using online research, directories, social media and other sources
- Make outbound calls to potential customers
- Send introductory emails and quotes
- Follow up previous enquiries and quotations
- Build relationships with new businesses
- Maintain an organised lead database
- Record call outcomes and schedule follow-ups
- Identify new sectors and partnership opportunities
- Help increase the utilisation of available vehicles
- Work towards generating repeat commercial customers
- Think creatively about how Renterprice can grow
You will not simply be given established customers to manage. We are looking for someone who is comfortable building a customer network from the ground up and taking ownership of finding new opportunities.
Office and administrative responsibilities
Full training will be provided but you will also help manage the day-to-day running of the office, including:
- Handling vehicle-hire enquiries
- Taking bookings
- Preparing vehicle-hire paperwork
- Taking and recording payments
- Preparing and sending invoices
- Updating customer records
- Maintaining Excel spreadsheets and trackers on administrative duties
- Supporting payroll-related administration
- Keeping paperwork and records organised
- Responding to courier and transport customer queries on our current courtier jobs we have
- General office administration
A highly independent role
This role will involve working independently for much of the day.
Renterprice is a small business, so you will not be working within a large office team with constant supervision.
You will need to be comfortable:
- Managing your own workload
- Deciding what needs to be done next
- Working productively without being closely supervised
- Taking responsibility for your own results
- Staying motivated during quieter periods
If all immediate administration is complete and there are no customers in the office, we would expect you to use that time proactively by generating leads, following up potential customers, researching new businesses and finding ways to help grow the company.
You therefore need to be someone who enjoys responsibility and does not need to be constantly given tasks.
What we are looking for
The ideal person will be:
- Proactive and self-motivated
- Confident speaking to customers and businesses
- Comfortable making outbound and cold calls
- Organised and reliable
- Good at following up
- Commercially minded
- Interested in business growth
- Comfortable working independently
- Confident using Microsoft Word, Excel and Outlook/email
- Able to create and maintain spreadsheets and lead trackers
- Comfortable dealing with customers face-to-face and by phone
- Persistent and able to handle rejection
- Able to identify opportunities without being told where to look
- Professional and confident in written communication
- Able to manage several tasks at once
- Motivated by achieving results
Previous business development, sales, customer service or administration experience would be useful, but attitude, initiative and willingness to learn are equally important.
Microsoft skills
You should be comfortable using:
- Microsoft Excel – maintaining trackers, organising data, sorting/filtering and basic formulas
- Microsoft Word – preparing documents and correspondence
- Outlook/email – managing enquiries, follow-ups and professional communication
What success in the role looks like
We want the successful candidate to gradually take ownership of:
- Building a strong database of potential customers
- Developing relationships with businesses
- Generating regular new enquiries
- Following up leads consistently
- Converting enquiries into bookings
- Increasing vehicle utilisation
- Building repeat commercial accounts
- Keeping office administration organised and accurate
- Helping Renterprice grow over time
This role may not suit you if:
- You are looking for a purely administrative role
- You dislike cold calling or approaching new businesses
- You prefer to wait for work to be given to you
- You need to work as part of a large team throughout the day
- You become bored during quieter periods
- You are uncomfortable being responsible for generating business
- You prefer managing existing customers rather than finding new ones
