What they need
We are a boutique, growth-focused wealth advisory firm located in Petone entering an exciting transition phase, with second-generation leadership driving expansion and long-term succession planning.
We are seeking a highly capable Business Manager & Advisor Support to become the operational backbone of the business. This is a pivotal role supporting the advisors, to refine a well established client portfolio, while bringing structure, discipline, and clarity across operations, reporting, and client service.
Why this could be a great move for you
Be a true right-handed partner
Work closely with a respected Senior Advisor and play a meaningful role in helping shape the next phase and success of the business.
Enjoy variety and ownership
This role blends operations, planning, reporting, problem-solving and client support.
Make a genuine impact
Your judgment, initiative and ideas will matter. This is a role where you can improve the business, not simply support it.
Key Responsibilities
1. Advisor Support & Executive Coordination
- Proactively manage the advisor’s diary, priorities, and workflow
- Coordinate client meetings, follow-ups, and key deliverables
- Act as a gatekeeper and organiser to maximise advisor productivity
- Ensure nothing falls through the cracks
2. Business Operations & Office Management
- Oversee day-to-day operations of the practice
- Implement and maintain efficient systems and processes
- Drive organisation, structure, and accountability across the business
- Take ownership of “getting things done” across multiple moving parts
3. Business Improvement & Execution
- Work alongside the advisors to implement business improvement initiatives
- Help prioritise, track, and deliver key projects
- Bring practical thinking and real-world experience to improve how the business operates
- Act as a sounding board for ideas and execution plans
4. Reporting & Performance Tracking
Manage and produce reporting across:
- Sales activity
- Client pipeline
- FUM growth
- Business performance metrics
Ideally support financial tracking (revenue, costs, basic financial insights)
Turn data into clear, simple insights that support decision-making
5. Client & Team Support
- Provide backup support to the Client Relationship Manager when required
- Maintain a high standard of client experience and communication
- Ensure consistency and professionalism across all client touch-points
What you'll enjoy
- A meaningful role
- Working closely with an ambitious business owner
- Variety, challenge and stimulating work
- A supportive, down-to-earth and professional culture
- Flexibility and balanced working environment
- Opportunity to help shape the next phase of the business
- Long-term growth potential for the right person
Ideal Candidate Profile
This role suits someone who has “been there before”.
- Highly organised, detail-oriented, and reliable - ideally in an EA role
- Strong ability to prioritise, plan, and execute
- Comfortable working across multiple functions (operations, admin, reporting, client support)
- Tech-capable (CRM systems, reporting tools, spreadsheets)
- Financially aware (can understand and track business performance)
- Calm, practical, and solutions-focused
- Naturally takes ownership rather than waiting for direction
What you’ll be doing:
- Managing the advisor’s diary workflow, priorities, and schedule
- Keeping the business organised, efficient, and on track
- Driving key business improvement initiatives
- Owning reporting across sales, pipeline, and performance
- Supporting client delivery and stepping in where needed
- Acting as the operational heartbeat of the business
What we’re looking for:
- Real-world experience (not just theory)
- Strong organisational and multitasking ability
- Confidence working across operations, reporting, and client support
- A calm, practical, “get it done” attitude
- Someone local who wants to be part of a long-term journey
- Previous experience in the wealth advisory / financial services industry, OR Experience in a legal practice or professional services environment
This ensures you understand:
- Client confidentiality and professionalism
- Structured processes and compliance environments
- High-value client relationship expectations
- The pace and discipline required in advisory-led businesses
Why this role matters:
You won’t be just another employee.
You’ll be the person who:
