Business Operations & Systems Lead

Full-Time | Remote

We’re a growing US-based company looking for a hands-on Business Operations & Systems Lead who loves turning complexity into clear, scalable systems. You will outline existing processes, identify inefficiencies and risks, and build practical workflows, SOPs, quality controls, automations, and reporting. You will also help the team adopt these processes and continuously improve them based on results.

This is not a purely strategic or advisory position. You must enjoy getting into the details, creating the documentation and systems yourself, testing them in real operations, and following through until they are working consistently.

The right person is resourceful, highly organized, curious, and comfortable bringing structure to an evolving startup environment. You should be equally comfortable interviewing employees about a process, mapping a complicated workflow, writing a clear SOP, configuring a project-management or CRM system, and using AI to reduce manual work.

Key Responsibilities

Process & Systems

• Map and evaluate our core business processes from end to end.
• Design simpler, more scalable workflows.
• Establish clear ownership, SLAs, controls, and escalation paths.
• Create and maintain SOPs for critical processes.
• Build systems that allow the company to scale without operational headcount increasing at the same rate.

Automation & AI

• Identify workflows that can be automated.
• Personally build automations using tools such as n8n, Make, Zoho Flow, Zapier, APIs, and webhooks.
• Find practical ways to incorporate AI into everyday operations.

Operational Management

• Own the day-to-day performance of operations.
• Identify problems before they become emergencies.
• Establish operational KPIs and regularly review performance.
• Investigate recurring problems and implement permanent solutions rather than temporary fixes.
• Continuously improve how we operate.

What We're Looking For

You may be a great fit if you:

• Have 5+ years of experience in operations, business operations, process improvement, systems, or a similar role.
• Have personally designed and implemented operational processes—not just managed processes someone else created.
• Are exceptionally organized and naturally bring structure to ambiguity.
• Have strong process-mapping and SOP/documentation skills.
• Have hands-on experience building workflow automations.
• Are highly proficient with AI tools and actively use AI to work faster and solve problems.
• Are comfortable learning new software and figuring out integrations independently.
• Think in terms of root causes, systems, controls, and measurable outcomes.
• Have strong written and verbal English communication skills.
• Take a high degree of ownership and don't wait for someone else to identify or solve a problem.

• This is a fully remote position.
• Reliable internet and a professional remote workspace are required.
