Business Operations Coordinator

What You’ll Do

• Manage the Managing Director’s calendar and meetings, and prepare reports, presentations, and meeting materials
• Track action items and follow up with department heads
• Coordinate personalization orders (engraving, printing, gift packaging), from specification checks to quality control before release
• Process wholesale and walk-in orders, coordinating with Sales, Warehouse, and Accounting, and follow up on purchase orders, invoices, and delivery documents
• Oversee online orders across the website, social media, and marketplaces, including payments, packing, shipping, and returns
• Handle customer concerns and assist with collections
• Handle office operations such as supplies, maintenance, events, filing, and SOP compliance
• Prepare weekly reports on orders, sales, inventory, customer concerns, and outstanding tasks

Qualifications

• Bachelor’s degree in business administration, Management, Operations, or a related field
• 1 year of experience in business operations, sales coordination, order management, or executive/administrative support
• Proficient in Excel/Google Sheets and presentation tools; comfortable with sales and inventory data
• Familiarity with e-commerce platforms, courier operations, purchase orders, and invoicing
• Strong organization, attention to detail, and follow-through
• Clear, professional communication and a customer-first attitude
• Able to handle confidential information with discretion
• Willing to work onsite and beyond regular hours during peak seasons
