Summary

The Business Process Manager – Buying & Procurement is responsible for end-to-end design, improvement, documentation, and governance of procurement processes. This includes standardizing workflows for requisitioning, sourcing, vendor onboarding, purchase order (PO) creation, approvals, goods receipt, invoicing support, and compliance controls. The role partners with procurement, finance, legal, vendor management, and IT to improve cycle time, data quality, compliance, and cost efficiency.

Key Responsibilities

1) Process Ownership & Governance

  • Own selected end-to-end procurement processes and ensure they are executed consistently across teams/sites.
  • Maintain and update procurement SOPs, workflow documentation, and process maps (e.g., swimlane diagrams, BPMN).
  • Define and enforce process controls (approvals, segregation of duties, compliance checks, audit readiness).
  • Ensure adherence to procurement policies (e.g., contract compliance, vendor policy, spend rules).

2) Process Improvement (Continuous Improvement)

  • Identify process inefficiencies (e.g., long approval cycles, PO errors, invoice mismatches, rework).
  • Lead or support improvement initiatives using structured methods (Lean / Six Sigma / Kaizen / DMAIC).
  • Standardize best practices across categories, regions, and buyer groups.
  • Drive root-cause analysis for recurring issues (e.g., poor PO accuracy, supplier delays, approval bottlenecks).

3) Workflow Standardization & Service Levels

  • Define roles and responsibilities (RACI) for requisition → sourcing → PO → receipt → invoicing support.
  • Improve handoffs between departments (Procurement, Finance/AP, Warehouse/Stores, End Users, Legal).
  • Establish and monitor SLAs/targets (e.g., requisition-to-PO lead time, PO cycle time, GR/IR aging).

4) Systems & Automation Enablement (ERP/Procurement Tools)

  • Collaborate with IT/Systems to implement or improve workflows in ERP/procurement tools.
  • Support configuration changes, integration testing, and user acceptance testing (UAT).
  • Facilitate adoption of process changes and ensure master data alignment (vendors, catalog items, cost centers).

5) Data Quality, Reporting & KPIs

  • Define procurement KPIs and reporting cadence (e.g., compliance %, on-time PO creation, supplier lead time).
  • Monitor process performance and publish dashboards/weekly metrics to stakeholders.
  • Improve data accuracy (item descriptions, approval statuses, PO/receipt/invoice linkage).

6) Stakeholder Management & Change Management

  • Run workshops with buyers, requestors, finance, legal, and warehouse/store teams.
  • Develop training materials and support onboarding of process changes.
  • Manage change impact and ensure smooth transition to the new workflow.

Job Requirements:

  • 3+ years of experience in procurement process management, buying operations, supply chain operations, or business process improvement.
  • Demonstrated experience mapping and improving end-to-end procurement workflows.
  • Strong knowledge of procurement lifecycle: Requisitioning → Sourcing → PO → Goods Receipt → Invoice/Accounting support.
  • Strong analytical skills; ability to interpret process and spend metrics.
  • Excellent facilitation and stakeholder management skills.
  • Proficiency with MS Office (Excel, PowerPoint) and experience building KPI reports/dashboards.
