What they need
Role Overview
Fitzgerald Energy Solutions is hiring a Business Systems and Operations Analyst to help improve how our growing business operates. Working across sales, operations and finance, you will simplify processes, improve data quality and connect our core systems.
As the company has expanded, our systems have evolved to meet the needs of individual teams. We are now looking for someone to bring these systems and processes together, reduce manual work and give the business clearer, more reliable information.
This is a new, full-time, hybrid role based in Ennis, Co. Clare, reporting directly to the business owner. You will have the autonomy to identify and deliver improvements, working closely with colleagues across the business and drawing on specialist external support where needed.
Key Responsibilities
Process and data
- Look at how leads, jobs, and other data move across the CRM, OpenSolar, ServiceM8, and the accounting system, and find where things break down, get duplicated, or go missing
- Set clear data standards and keep records (customers, jobs, finance) accurate and consistent across systems
Reporting
- Build regular reports that show how the business is doing (sales, jobs, cash flow) by pulling together data from across the different systems
- Make sure the numbers behind these reports are reliable, so the owner and managers can trust them when making decisions
- Set up dashboards or regular reports so key information is easy to check without digging through separate systems
Automation and system connections
- Build connections and automations between the main systems, using webhooks, APIs, and tools such as n8n, Zapier, or Make
- Cut down on manual, repetitive work by automating handoffs between sales, operations, and finance
Process documentation and change
- Write clear, simple instructions (SOPs) for the main processes, and help roll them out, including training staff
- Work with busy teams to understand what isn't working, without adding to their workload, and help them move to better ways of working
System upkeep
- Look after and improve the company's main business systems day to day, with full admin access across all of them
- Be the first point of contact for system questions and issues, and bring in outside help, for example HK Consulting, only when needed
Systems & Access
The role will have full admin access to the company's main systems, including:
System & Role in the business
Customer/sales platform (CRM) - Lead and customer management, sales pipeline
OpenSolar - Solar design, proposals, project pipeline
ServiceM8 - Job scheduling, dispatch, field service management
Accounting software - Invoicing, reconciliation, financial reporting
Microsoft Office - Day-to-day reporting, documentation, and communication
An outside partner currently looks after some of the automation tools, such as n8n, and has done some early work across these systems. This role will take over day-to-day ownership, with that partner there for support rather than doing the work.
First 30/60/90 Days
In the first 30 days, the person will shadow each team and learn how the CRM, OpenSolar, ServiceM8, and the accounting system are actually used. They will map out the current workflows, get full admin access to every system, and flag the biggest pain points.
By 60 days, they will have fixed the highest-impact gaps between systems, written the first set of SOPs, and put together a list of priority improvements. They will also have started building simple automations in n8n or similar tools.
By 90 days, the first automations should be live, SOPs should be rolled out with proper training, and basic data quality checks should be in place. They should also have agreed a direction for ongoing reporting and dashboards.
Requirements & Experience
- Mid-level experience in a business systems, operations, or IT/process role. Any industry background is fine, as long as the skills carry over
- Comfortable working with APIs and webhooks, and able to build or set up automations using low-code or no-code tools; experience with n8n, Zapier, or Make is a plus
- Experience pulling data together from different systems and turning it into clear, reliable reports
- A track record of mapping out processes, writing clear SOPs, and helping colleagues adjust to new ways of working
- Good Microsoft Office skills and comfortable moving between several business systems day to day
- Able to plan and deliver improvements without much oversight, but also knows when to ask for outside help
- Nice to have: experience using AI tools such as Claude or ChatGPT to speed up documentation, scripting, or analysis
Compensation & Logistics
- Salary: €50,000 to €60,000, depending on experience
- Type: Full-time, hybrid (based in Ennis, Co. Clare; on-site days to be agreed)
- Probation: 6 months
- Reporting line: Direct to the business owner; no direct reports
- Access: Full administrative access across core business systems from day one
Pay: Up to €60,000.00 per year
Benefits:
- Company pension
- Employee assistance program
- Sick pay
- Work from home
Work Location: Hybrid remote in Ennis, County Clare
