The Capital Tools Apprentice supports the day-to-day control, accountability, condition, and availability of Bahamas Grid Company’s capital and controlled tools. The role maintains physical control of the tool crib; receives, inspects, identifies, registers, issues, and receives tools; records custody transactions; performs condition checks, scheduled inspections, and basic preventive maintenance; coordinates repair, calibration, and certification activities; maintains the quarantine area; conducts cycle counts and register sweeps; and supports monthly reconciliation and reporting. The position helps ensure that tools issued for operational use are properly identified, accounted for, serviceable, and maintained in excellent operating condition within applicable certification requirements.

Essential Functions:

Tool Receipt, Inspection & Registration

  • Receive capital and controlled tools and verify deliveries against purchase orders, including manufacturer, model, serial number, quantity, accessories, manuals, and overall condition.

  • Identify tools that are damaged, incomplete, or not to specification and ensure they are placed in quarantine rather than available stock.

  • Confirm required certification, calibration, or proof-test documentation is available before applicable tools are placed in service.

  • Assign Asset IDs, apply BGC identification labels, photograph tools and data plates, and create the required Capital Tool Register record before issue.

Tool Crib, Issue & Custody Control

  • Maintain day-to-day physical control and organization of the secured capital tool crib and controlled storage areas.

  • Issue tools to employees and crews using the required scanned or keyed custody transaction, ensuring the Asset ID, custodian, crew or department, date and time, and applicable job or vehicle information are recorded.

  • Verify that tools are available, within certification requirements, in an acceptable condition grade, and subject to any required user training or authorization before issue.

  • Process and record custody transfers between employees, crews, vehicles, contractors, and mutual-aid personnel in accordance with the approved procedure.

Tool Return, Inspection & Condition Control

  • Receive returned tools and perform return condition checks for physical damage, damaged electrical or hydraulic components, missing guards or accessories, contamination, incomplete kits, damaged identification labels, and reported operational defects.

  • Return serviceable tools to available stock and immediately quarantine tools where a defect or serviceability concern is identified.

  • Perform Monthly Condition & Function Inspections, including identification, physical condition, functional condition, maintenance, and safety checks, and record the appropriate condition grade and required action.

  • Perform basic preventive maintenance on tools and equipment, including cleaning, lubricating, and conducting routine visual inspections, as required to keep tools in excellent operating condition and identify potential defects before use.

  • Publish and support the monthly inspection roster for long-term assigned tools and physically reconcile assigned tools against crew, supervisor, and vehicle records.

Maintenance, Calibration, Certification & Quarantine

  • Monitor certification, calibration, and proof-test due dates and coordinate required testing before tools become overdue.

  • Schedule and coordinate approved repair, maintenance, calibration, and certification activities and maintain supporting records against the applicable Asset ID.

  • Maintain the quarantine area as a physically segregated, clearly identified location for defective, overdue, or otherwise non-issuable tools.

  • Ensure quarantined tools are not returned to service until required repair, functional verification, certification, condition grading, and register updates have been completed.

Tool Kits, Counts, Reconciliation & Reporting

  • Maintain tool kits and kit content checklists and identify missing or damaged controlled components.

  • Conduct capital tool cycle counts and monthly register sweeps across the warehouse, tool crib, laydown yard, vehicles present, and designated operational areas.

  • Identify and report exceptions, including tools not located, custody or location mismatches, overdue returns, overdue certifications, overdue maintenance actions, and extended repair items.

  • Work with the Inventory Control Coordinator to compile the Capital Tools Monthly Reconciliation Report for review by the Supervisor.

  • Maintain accurate records and support the integrity of capital tool custody, condition, certification, inspection, maintenance, and reconciliation information.

Other Requirements & Skills/Attributes:

  • Demonstrate a strong commitment to safety, tool accountability, accurate recordkeeping, and compliance with BGC procedures.

  • Exercise attention to detail when inspecting, identifying, issuing, receiving, and reconciling controlled tools.

  • Communicate professionally with employees, crew leaders, supervisors, Security, EHS&Q, Procurement, Finance, Inventory Control, contractors, and service providers as required.

  • Promptly escalate missing, damaged, defective, overdue, or unaccounted tools and other exceptions to the appropriate Supervisor.

  • Maintain organized tool storage, quarantine, inspection, certification, and supporting records.

  • Ability to follow established procedures and work effectively in a warehouse/tool-crib environment while supporting operational crews.

  • Qualifications:

  • Minimum education requirement: To be confirmed by Human Resources.

  • Minimum Experience: Two to three (2–3) years of relevant experience in inventory management, warehousing, tool/equipment control, or a related operational environment.

  • Required licences/certifications, if any: To be confirmed by Human Resources and EHS&Q.

  • Training and authorization requirements for restricted tools will apply as established by EHS&Q and BGC procedures.

  • Ability to learn and use BGC’s capital tool register, scanning/identification processes, and applicable inventory systems.
