Killphonic Rights, a global music publishing administrator, is seeking a Catalog Data Coordinator to join our administration team. This role will focus primarily on catalog data management, metadata maintenance, data migration, and supporting the organization and accuracy of a growing global music catalog.

The ideal candidate is highly organized, detail-oriented, and comfortable working with large datasets. This position will work closely with the administration team to prepare, migrate, maintain, and quality-check catalog data used for song registrations and royalty administration around the world.

Responsibilities

  • Preparing and organizing client catalogs for migration and import into Killphonic's administration systems.
  • Managing large datasets containing song, writer, publisher, recording, ownership, and client information.
  • Reviewing, cleaning, formatting, and maintaining music publishing metadata.
  • Identifying missing, inconsistent, duplicate, or incorrect metadata and coordinating necessary corrections.
  • Performing quality-control checks before and after catalog migrations and data imports.
  • Processing and maintaining CWR ACK files, including identifying registration errors, rejections, and discrepancies.
  • Updating catalog records based on ACK responses and escalating registration issues requiring additional review.
  • Reviewing catalog registrations across worldwide PROs, MROs, and CMOs to identify missing, incorrect, conflicting, or unsuccessful registrations.
  • Researching registration discrepancies and working with the administration team to determine and implement necessary corrections.
  • Maintaining accurate writer and publisher information, including IPI numbers, song codes, ownership shares, and recording details.
  • Organizing client catalogs, documentation, agreements, and supporting materials.
  • Assisting with the onboarding and organization of new clients and catalogs.
  • Reconciling data between spreadsheets, client files, administration systems, and society databases.
  • Supporting the administration team with catalog maintenance and other data-related projects as needed.

Requirements

  • Minimum 1 year of experience in the music industry.
  • Experience working with large datasets, spreadsheets, or database-driven systems.
  • Strong proficiency with Microsoft Excel and Google Sheets.
  • Exceptional attention to detail and organizational skills.
  • Ability to identify inconsistencies and accurately reconcile information across multiple data sources.
  • Ability to manage repetitive, detail-oriented work while maintaining a high level of accuracy.
  • Strong written communication and problem-solving skills.
  • Ability to manage multiple projects and priorities simultaneously.
  • Ability to commute to and work from our Los Angeles office.

Preferred Qualifications

  • Previous experience in music publishing, music rights, royalties, metadata, or catalog administration.
  • Familiarity with music publishing metadata, including writers, publishers, ownership shares, IPI numbers, ISWCs, and ISRCs.
  • Familiarity with CWR and ACK files.
  • Familiarity with PROs, MROs, CMOs, and music-rights societies.
  • Experience with Music Maestro or another music publishing administration platform.
  • Experience with large-scale data migrations or catalog ingestion.
  • A self-starter who can work independently while collaborating effectively with a small team.

Previous music publishing experience is preferred, but we are especially interested in candidates with strong data-management skills, attention to detail, and an ability to learn complex systems and processes.

The above is intended to provide a comprehensive, but not exhaustive, overview of the position. Responsibilities may evolve over time based on the needs of the company and administration team.
