What they need

Established in 1974, Corstorphine Baptist Community Trust (CBCT) is an incorporated charitable trust providing community-based and residential support services for adults, young people and children affected by mental health issues and disabilities.

CBCT is seeking an experienced and capable Administration Manager to join its team in this newly created position. This is a varied and influential role for someone who enjoys bringing structure to complexity, supporting others and ensuring the systems behind an organisation work well.

About the role

Reporting to the Chief Executive Officer, you will lead the CBCT’s business support functions, including administration, finance, workforce systems, compliance, technology and operational services. You will help ensure the organisation has effective infrastructure, sound governance and efficient business operations supporting high-quality service delivery.

Your responsibilities will include:

  • Lead and coordinate the organisation’s administration function and support services
  • Establishing effective administrative systems, processes and service standards
  • Coordinating budgeting, forecasting, payroll, month-end processes and financial reporting
  • Manage the accounts payable, accounts receivable, bank reconciliations and Xero administration
  • Supporting recruitment, onboarding, employee records, capability development and performance review processes
  • Leading health and safety systems, privacy compliance, quality assurance and continuous improvement
  • Coordinating internal and external audits, policy reviews and organisational risk processes
  • Managing ICT providers, software vendors and day-to-day technology requirements
  • Overseeing systems administration, data quality and reporting
  • Coordinating office operations, suppliers, procurement, facilities, resources and the vehicle fleet
  • Preparing Board papers and reports and providing governance and executive support.

You will be an experienced administration or business support professional who can confidently work across financial, people, compliance and operational responsibilities. You will be comfortable managing competing priorities while maintaining accuracy, responsiveness and a high standard of service.

You will bring:

  • Tertiary-level education in a finance-related area, or equivalent practical experience
  • Previous experience in administration, office management or business support leadership
  • Ideally, at least five years’ experience in an administration or finance role, including staff management
  • Sound financial administration, budgeting and reporting capability
  • Experience improving administrative systems and business processes
  • Confidence using technology, reporting platforms and business systems
  • Excellent Microsoft Excel and Word skills
  • Strong written and verbal communication
  • Sound judgement, integrity, discretion and professionalism
  • The ability to build productive relationships with staff, leaders, suppliers and external stakeholders
  • A practical and proactive approach to problem-solving and continuous improvement.

This opportunity would suit someone who enjoys a broad role, can move confidently between strategic priorities and practical delivery, and wants to use their expertise to support an organisation making a positive contribution within the local community.
