Join Our Growing Team!

We're looking for an organised, proactive and personable Administrator to join our growing Cleaning Division at Dayco.

This is a varied and hands-on role, ideal for someone who enjoys keeping things organised, communicating with clients and being at the centre of a busy operational team.

Working closely with our Contracts Manager, you'll play an important part in supporting the day-to-day delivery of our cleaning services, coordinating ad-hoc works, managing client enquiries and ensuring our internal systems and records are accurate and up to date.

No two days are quite the same, so we're looking for someone who can think on their feet, manage competing priorities and take real ownership of their work.

About Dayco Cleaning Ltd

Dayco Cleaning Ltd is a growing, independently operated cleaning company within the wider Dayco Group, delivering professional cleaning and caretaking services across London and the surrounding areas.

We pride ourselves on providing a reliable, high-quality service, building long-standing client relationships and maintaining a supportive, collaborative working environment.

As we continue to develop and expand, we're looking for enthusiastic people who want to grow with us and play an important part in our success.

What You'll Be Doing

Operations & Ad-Hoc Works

  • Supporting the Contracts Manager with the daily administration and coordination of cleaning contracts.
  • Managing incoming ad-hoc cleaning enquiries, arranging quotations and coordinating works once approved.
  • Liaising with clients and operational teams to ensure works are scheduled and completed efficiently.
  • Monitoring outstanding jobs, following up on progress and ensuring clients receive timely updates.
  • Preparing and issuing completion reports and other relevant documentation.

Client Communication

  • Acting as a key point of contact for client enquiries, requests and general service updates.
  • Monitoring the Cleaning Division's shared email inbox and responding within company service standards.
  • Logging client complaints accurately and escalating them to the Contracts Manager for resolution.
  • Building positive working relationships with clients through clear, professional and helpful communication.

Systems & Contract Administration

  • Maintaining accurate records within our internal job management system (BMS).
  • Setting up new cleaning contracts and maintaining existing contract information.
  • Keeping job records, service agreements, client details and supporting documentation organised and up to date.
  • Assisting with the preparation of client reports, contract updates and operational records.
  • Maintaining completed staff training records and highlighting any outstanding compliance requirements.

Purchasing & General Administration

  • Coordinating orders for cleaning materials, consumables and equipment.
  • Liaising with the operational team to ensure supplies are ordered when required.
  • Maintaining purchasing records and submitting receipts in accordance with company procedures.
  • Answering incoming telephone calls and directing enquiries to the appropriate teams.
  • Providing general administrative support to the wider Cleaning Division.

What We're Looking For

We're looking for someone who is confident, organised and comfortable working in a busy office environment.

Essential:

  • Previous experience in an administrative or office support role.
  • Excellent written and verbal communication skills.
  • Strong organisational skills and the ability to manage several tasks simultaneously.
  • Good working knowledge of Microsoft Outlook, Word and Excel.
  • A professional and confident telephone manner.
  • Excellent attention to detail and accurate record-keeping.
  • The ability to prioritise workloads and work independently.
  • A proactive, positive attitude with a willingness to help colleagues and clients.
  • Someone who takes responsibility, uses their initiative and follows tasks through to completion.

Desirable (but not essential):

  • Experience within cleaning, facilities management, property management or a similar service-based industry.
  • Previous experience coordinating jobs, bookings or operational teams.
  • Familiarity with job management or CRM systems.
  • Experience handling client enquiries and preparing quotations.

Experience within the cleaning industry would be beneficial, but we're equally interested in candidates with strong administrative skills and the right attitude. Full training on our internal systems and processes will be provided.

Why Join Dayco?

You'll be joining an established business with a growing Cleaning Division and a friendly, supportive office team.

This isn't simply a data-entry position. You'll have a varied workload, direct involvement in our day-to-day operations and the opportunity to make a genuine contribution to how our services are delivered.

We value people who take pride in their work, enjoy being part of a team and aren't afraid to get stuck in.

If you're organised, approachable, enjoy a busy working environment and are looking for a role where your contribution really matters, we'd love to hear from you.
