CLERK (PURCHASING)

About the role

Southern Cable Sdn Bhd is seeking a Clerk (Purchasing) to join our dynamic team in Kuala Ketil, Kedah. This is a full-time position that plays a vital role in our purchasing and procurement operations. As a Purchasing Clerk, you will be responsible for supporting the purchasing department in managing supplier relationships, processing purchase orders, and ensuring the smooth flow of materials and inventory across our organisation. This role is integral to maintaining operational efficiency and ensuring that our manufacturing and logistics operations continue to run seamlessly.

Key responsibilities

• Processing and preparing purchase orders for suppliers and ensuring all documentation is accurate and complete
• Maintaining and updating supplier databases and contact information
• Coordinating with suppliers to confirm order details, delivery schedules and pricing
• Monitoring inventory levels and alerting management to stock shortages or discrepancies
• Receiving and verifying incoming goods against purchase orders and delivery notes
• Preparing and maintaining purchasing records, invoices and payment documentation
• Following up on outstanding orders and resolving delivery delays or supply issues
• Supporting the purchasing team with general administrative duties and clerical tasks
• Liaising between internal departments and external suppliers to facilitate smooth procurement processes
• Assisting with cost analysis and identifying opportunities for savings and supplier optimisation

What we're looking for

• Proficiency in using Microsoft Office applications, particularly Excel and Word
• Experience with purchasing systems or inventory management software
• Strong organisational and time-management skills with the ability to manage multiple tasks and prioritise effectively
• Excellent communication skills, both written and verbal, with the ability to interact professionally with suppliers and internal stakeholders
• Attention to detail and accuracy in data entry and record-keeping
• Problem-solving abilities and the capacity to work independently as well as collaboratively within a team
• Knowledge of purchasing procedures, procurement protocols and supply chain management principles
• A proactive approach to work with the ability to identify process improvements
• Preferably, experience with SAP, Oracle or similar enterprise resource planning (ERP) systems would be advantageous
