What they need

About the Role

An exciting opportunity has arisen for a Client Administrator to join our team at Summit South West. Based in either our Bunbury or Busselton showroom, you'll be an integral part of our Administration team, guiding clients through the pre-construction phase of their building journey,  from contract signing right through to handover to construction.

You'll be the key point of coordination for each client's project, ensuring seamless communication, exceptional service, and efficient processes at every step. Working closely with our estimating, drafting, and construction teams, you'll keep files progressing on time while delivering a warm, professional experience that reflects our building and quality standards.

Key responsibilities include:

  • Supporting clients through pre-construction via phone, email, and in-person prestart meetings at our Bunbury or Busselton showroom
  • Guiding clients through their internal and external selections and documenting these accurately
  • Raising and managing variations with a high level of detail, keeping client expectations front of mind
  • Coordinating pricing, finance, settlement, and final documentation with internal departments and external parties
  • Keeping job books and records up to date to ensure accurate forecasting and steady workflow
  • Building strong client relationships and resolving queries promptly and professionally

About You

You're an organised, detail-focused professional who genuinely enjoys working with people and takes pride in delivering an exceptional client experience. You stay calm under pressure, juggle competing priorities with ease, and take ownership of getting things done.

Prior experience in a similar client-facing role within the construction industry is highly regarded, but if you bring the right attitude, strong administration skills, and a willingness to learn, we're happy to train the right person.

To be successful in this role, you'll ideally have:

  • Excellent interpersonal and communication skills, with a natural ability to build rapport with clients
  • Strong organisational and time-management skills, with the ability to manage multiple files at once
  • Sharp attention to detail and accuracy
  • A proactive, self-motivated approach and the ability to work unsupervised
  • Confident problem-solving and conflict-resolution skills
  • An understanding of residential construction processes, contracts, and plans (highly regarded, but not essential)
  • Proficiency with the Microsoft Office suite
