Client Care Supervisor

Full-Time | Salaried Leadership Position | Competitive Compensation & Benefits

Dickinson County Animal Clinic is looking for an experienced, organized, and people-focused leader to oversee our Client Care Specialist team. This is a salaried leadership position responsible for the day-to-day operations of our front desk, developing our client care team, and helping ensure an exceptional experience for our clients and patients.

Compensation: Competitive salaried compensation based on experience and qualifications, along with a comprehensive benefits package and opportunities for professional growth.

Schedule: Four-day work week with a rotating Saturday half-day. Schedule may vary based on the needs of the practice and department.

About the Position

The Client Care Specialist Supervisor will lead our front desk team and work closely with the Practice Manager and medical team to keep client care operations running smoothly.

This is a hands-on leadership position with meaningful responsibility and decision-making authority. The supervisor will have significant input into staffing, scheduling, employee development, performance management, and the overall direction of the Client Care department. The Practice Manager will provide support and guidance while working collaboratively with the supervisor on larger personnel and operational decisions.

We are looking for someone who is confident leading others, comfortable making decisions and having difficult conversations, and able to balance excellent customer service with the operational needs of a busy veterinary practice.

Key Responsibilities

Team Leadership & Development

  • Lead, support, and mentor the Client Care Specialist team
  • Set clear expectations and hold team members accountable for performance and client service
  • Assist with hiring, interviewing, onboarding, and training
  • Conduct employee check-ins, performance reviews, and coaching conversations
  • Address performance and workplace concerns promptly and professionally
  • Foster a positive, respectful, and collaborative work environment

Scheduling & Staffing

  • Develop and maintain front desk schedules
  • Coordinate coverage for vacations, call-ins, and other staffing needs
  • Approve time-off requests while maintaining appropriate department coverage
  • Monitor staffing levels and identify future hiring needs
  • Work with the Practice Manager on personnel decisions and department planning

Front Desk Operations & Client Experience

  • Oversee daily Client Care department operations
  • Ensure efficient client flow, phone communication, appointment scheduling, and check-in/check-out
  • Establish and maintain consistent front desk procedures and workflows
  • Identify inefficiencies and implement improvements
  • Handle escalated client concerns and support team members with challenging situations
  • Maintain high standards for client service and communication
  • Ensure effective communication between the Client Care and medical teams
  • Step in and assist with front desk responsibilities when needed

Practice Support

  • Work closely with the Practice Manager and medical team to support overall practice goals
  • Participate in leadership discussions and contribute ideas for improving practice operations
  • Assist with implementing new systems, policies, and procedures
  • Monitor department performance and identify opportunities for improvement
  • Maintain confidentiality regarding client, patient, and employee information

What We're Looking For

The ideal candidate will bring a combination of leadership ability, client service experience, organization, and sound judgment.

Preferred Qualifications:

  • Previous experience in veterinary medicine, preferably in a client service or reception role
  • Previous supervisory or leadership experience, ideally in a veterinary, medical, or customer-service environment
  • Strong communication and interpersonal skills
  • Ability to coach, motivate, and hold team members accountable
  • Comfortable having difficult conversations and addressing performance concerns professionally
  • Strong organizational skills, attention to detail, and follow-through
  • Ability to prioritize and make sound decisions in a busy environment
  • Professional, compassionate approach to client communication
  • Ability to remain calm and solution-focused when handling challenging situations
  • Comfortable learning and utilizing veterinary practice management software and other technology
  • Ability to work collaboratively with veterinarians, technicians, assistants, and other members of the practice team
  • Genuine interest in veterinary medicine and providing excellent patient and client care

The right person for this position will:

  • Lead by example rather than simply delegate
  • Take ownership when something isn't working and look for ways to improve it
  • Treat team members fairly and consistently
  • Be comfortable both giving and receiving feedback
  • Understand that excellent client service and a healthy team culture go hand in hand
