This position sits at the center of our client experience, supporting both clients and advisors through proactive communication, organization, and follow-through. What You’ll Do

• Serve as the first point of contact for our office: the first person clients see when they walk in and the first voice they hear when they call
• Handle inbound client inquiries and direct them appropriately
• Greet clients and visitors, and support in-office client meetings, including coordinating meeting logistics
• Assist clients dropping off paperwork and other materials, and route items to the right team member
• Manage incoming and outgoing mail and distribute it to the appropriate team members
• Keep the front office area stocked, organized, and welcoming
• Maintain accurate client records and document all activity within our CRM System
• Support our Executive Assistants with client communication as needed

What We’re Looking For

• Strong communication skills—both written and verbal
• High level of organization and attention to detail
• Ability to manage multiple tasks and prioritize effectively
• A team-oriented mindset with a willingness to take initiative
• Comfort with phone systems, email, and CRM or similar software
• Professional, friendly, and client-focused demeanor, both in person and on the phone

Preferred (but not required):

• Background in finance, business, or a related field
• Experience in client service, reception, administrative support, or financial services

Position Details

• Full-time, in-office role
• Location: Painted Post, NY
• Competitive Paid Time Off, including firm holidays and 3 weeks of PTO
• Starting salary: $40,000–$45,000 per year, based on experience
