What they need

Summary/Objective Client Experience & Office Assistant We are seeking a friendly, professional, and service-oriented Client Experience & Office Assistant to help create an exceptional experience for our clients, guests, attorneys, and staff.

The Client Experience & Office Assistant supports the day-to-day operations of the firm's reception, conference rooms, client-facing spaces, and office services functions. This role works closely with the Hospitality and Administrative Teams to help ensure the office is welcoming, organized, professional, and ready for business each day.

Delivering great service happens both front-of-the-house and behind the scenes. From greeting a client and preparing a conference room to distributing mail, stocking supplies, and helping with a document-production request, this role contributes to the smooth operation of the firm and the experience of everyone who interacts with us.

This position requires extreme attention to detail, impeccable professionalism, a positive and “ whatever it takes ” attitude, and yes—an uncontrollable smile.

Responsibilities Client Service & Reception

  • Greet clients, guests, vendors, and employees in a friendly and professional manner.
  • Answer and route incoming telephone calls and provide accurate information as appropriate.
  • Assist with visitor arrivals, appointments, and other front-desk needs.
  • Provide courteous and responsive service to internal and external clients.
  • Help ensure the reception area and other client-facing spaces are welcoming and professionally presented.
  • Assist attorneys and administrative staff with client and guest needs.

Meeting and Hospitality Support

  • Assist with conference room scheduling, meeting preparation, and hospitality needs, including room setup, meeting materials, food and beverage service, catering, basic technology support, and prompt room reset after meetings.
  • Conduct regular walkthroughs and restock conference rooms, reception, kitchens, break areas, and other shared spaces to ensure they remain clean, organized, well-stocked, and ready for use.
  • Assist with firm meetings, client events, and special functions, including setup, service, and cleanup.
  • Promptly address or report facility, technology, supply, or other issues that may affect meeting spaces or the client and guest experience.

Office & Administrative Support

  • Provide responsive office services and administrative support to attorneys and staff.
  • Process and distribute mail, packages, deliveries, and courier shipments.
  • Assist with copying, scanning, printing, binding, and other document-production needs.
  • Maintain office and hospitality supplies, inventory, equipment, and shared work areas.
  • Assist with office moves, workstation setups, special projects, and backup coverage across administrative and office services functions.
  • Handle documents, schedules, and confidential information accurately and discreetly, with a strong commitment to client and internal service.

Qualifications:

  • One to three years of experience in reception/front desk, customer service, retail, or another service-oriented environment preferred.
  • High school diploma or equivalent required; additional education or training is a plus.
  • Hospitality mindset: Prior experience in hospitality, hotel concierge, luxury service, or client‑facing roles strongly preferred.
  • Client‑first orientation: Genuine enjoyment of serving others and making people feel welcome.
  • Exceptional professionalism: Polished appearance, strong presence, and outstanding interpersonal skills.
  • Extreme attention to detail: Names, timing, presentation, and follow‑through matter—every time.
  • Positive & resilient attitude: Calm, upbeat, and solution‑oriented, even on busy days.
  • “Whatever it takes” approach: Willing to step in, help out, and go the extra mile - comfortable taking initiative and operating independently while also accepting direction as needed.
  • Strong communication skills: Clear, articulate, and warm—both in person and over the phone.
  • Discretion & judgment: Absolute respect for confidentiality and professionalism in a legal environment.
  • Tech comfort: Familiarity with Microsoft Office, calendaring & scheduling, phone systems, and other office technology.
  • Flexibility to work extended hours when business needs require.
  • Strong commitment to punctuality and dependability is required
