What they need
Are you the kind of person who can greet a client with a smile, answer a phone call, navigate a computer system, solve a problem, and notice that the laundry needs to be switched—all without losing your cool?
If so, you might be exactly who we’re looking for.
At Rebel Tails Grooming, we’ve created a calm, fear-free, and genuinely stress-free environment for both dogs and their people. We don’t use crates, we prioritize low-stress handling, and we take pride in providing an exceptional experience from the moment a client walks through our doors to the moment they leave.
We’re looking for a Client Experience & Operations Coordinator who can help us deliver that experience while keeping the salon running smoothly behind the scenes.
This Is More Than a Front Desk Job
This role is ideal for someone who enjoys variety, responsibility, and staying busy.
You’ll be the primary point of contact for our clients, but you’ll also play an important role in the day-to-day operation of the salon. Your responsibilities will span customer service, scheduling, technology, sales, client retention, and hands-on salon operations.
One moment you may be checking in a dog or answering a client’s question. The next, you may be rebooking an appointment, responding to a text, restocking supplies, helping a groomer, or making sure the lobby and salon are ready for the next client.
We’re looking for someone who genuinely enjoys wearing multiple hats and takes pride in noticing what needs to be done and taking care of it.
What You’ll DoClient Experience & Front Desk
- Welcome clients and their pets and provide a warm, professional experience
- Check pets in and out and manage the flow of clients throughout the day
- Answer phone calls, texts, and emails promptly and professionally
- Schedule, confirm, modify, and manage appointments
- Handle routine client questions and concerns
- Process payments and complete basic administrative tasks
- Follow established customer service procedures, systems, and scripts
Sales & Client Retention
- Recommend appropriate grooming services, add-ons, and products based on client needs
- Identify opportunities to increase the value of each appointment through thoughtful upselling
- Encourage clients to schedule their next appointment before leaving
- Offer membership options
- Build relationships with clients that encourage repeat business and long-term loyalty
- Follow established sales and rebooking processes and contribute to salon retention goals
You don’t need to be a “hard seller.” We believe the best sales come from listening to clients, understanding their needs, and making helpful recommendations.
Technology & Administration
- Navigate our scheduling and booking software accurately and efficiently
- Maintain accurate client and appointment information
- Communicate with clients through phone, text, and email
- Learn and use new technology and salon systems quickly
- Process payments and assist with other administrative responsibilities
Salon Operations
- Help maintain a clean, organized, and welcoming salon
- Sweep and vacuum pet hair throughout the day
- Keep laundry moving, including washing, drying, and folding towels
- Restock salon supplies and inventory
- Mix shampoos and prepare grooming supplies
- Support groomers and assistants with day-to-day operational needs
- Monitor the salon and proactively address tasks that need attention
- Help ensure the salon is prepared for the day’s appointments and remains organized throughout the day
Who We’re Looking For
The ideal candidate is someone who:
- Thrives in a busy, varied environment rather than wanting to do the same task all day
- Is naturally organized and able to prioritize competing demands
- Can move comfortably between customer service, technology, sales, and hands-on tasks
- Is comfortable recommending services and asking clients to rebook
- Learns new technology quickly and is comfortable using computers and scheduling software
- Is proactive and notices what needs to be done without always being asked
- Can remain calm, friendly, and professional when multiple things are happening at once
- Has excellent communication and interpersonal skills
- Is dependable, detail-oriented, and takes ownership of their responsibilities
- Takes pride in keeping their workspace clean and organized
- Enjoys working around dogs and genuinely cares about providing a positive experience for both pets and their owners
Required Qualifications
- Previous experience in customer service, hospitality, reception, retail, sales, or a similar client-facing role
- Strong verbal and written communication skills
- Ability to confidently use computers, texting, email, and scheduling software
- Strong organizational and prioritization skills
- Ability to work independently while also supporting a team
- Comfort with sales, upselling, and client retention
- Ability to follow established systems, procedures, and scripts
- Ability to remain composed and professional during busy periods
Preferred Qualifications
- Experience in a grooming salon, veterinary clinic, pet care business, hospitality environment, or other service-based business
- Previous sales or client-retention experience
- Experience using appointment scheduling or point-of-sale software
- Experience working with dogs
Dog experience is a plus, but not required. What’s most important is that you’re comfortable learning, genuinely enjoy working with people, and are someone we can trust to help keep the salon running smoothly.
